Position Title: Operations Manager
Reports To: Executive Director
Status: Full-Time
Position Summary
The Operations Manager is responsible for overseeing the daily non-clinical operations of Palm City Wellness and ensuring the facility operates efficiently, safely, and in accordance with all company policies and regulatory standards. This role serves as a key point of contact for staff, clients, and families and provides leadership support across departments to promote a positive treatment environment.
Essential Duties and ResponsibilitiesOperations and Facility Management
- Oversee day-to-day operations of the residential program.
- Ensure a safe, clean, and therapeutic environment.
- Coordinate maintenance, housekeeping, transportation, and vendor services.
- Monitor facility inventory and supply needs.
Staff Leadership and Supervision
- Provide oversight and support to behavioral health technicians and operational staff.
- Assist with scheduling and staffing coverage.
- Promote accountability and adherence to company policies.
- Participate in staff training, orientation, and performance improvement initiatives.
Family and Communication Responsibilities
- Serve as a point of contact for operational concerns from clients and families.
- Monitor and respond to after-hours communications in the main company chat regarding client, family, and facility matters.
- Ensure urgent concerns raised by patients, families, or staff are acknowledged and escalated appropriately to the appropriate clinical, nursing, or executive leadership personnel.
- Facilitate timely communication between departments to ensure continuity of care and customer service.
- Maintain professionalism and confidentiality in all communications.
Regulatory Compliance
- Assist with maintaining compliance with AHCA, DCF, and Joint Commission standards.
- Ensure incident reports and operational documentation are completed timely.
- Support quality improvement initiatives and corrective action plans.
Inventory and Administrative Duties
- Conduct weekly inventory of supplies and household items.
- Coordinate purchasing and maintain expense records.
- Participate in leadership meetings and operational reporting.
- Support admissions, transportation, and discharge processes as needed.
Qualifications
- Minimum of three years of supervisory or operations experience in healthcare, behavioral health, or residential treatment preferred.
- Strong organizational and communication skills.
- Ability to manage multiple priorities and respond appropriately to urgent situations.
- Knowledge of HIPAA and confidentiality requirements.
- Proficiency with electronic medical records and standard computer applications.
Additional Expectations
- Must maintain a professional presence and be accessible to staff and leadership.
- Must monitor and respond to urgent after-hours communications in the main company communication platform, including concerns involving patients, families, admissions, and facility operations.
- Must collaborate effectively with clinical and nursing leadership to ensure timely resolution of issues and continuity of care.
- Must demonstrate flexibility and a commitment to supporting the overall mission and operations of Palm City Wellness.
Pay: $50,000.00 - $60,000.00 per year
