Position Requirements:
- 2-5 years of experience in project management, and or combined with, client account management in an agency, consultancy or ecommerce setting and experience working directly with and supporting senior leadership teams. Ideally experience leading a team.
- Ability to effectively and with poise manage multiple priorities and demands in a fast paced, time-sensitive environment.
- Capable of remaining calm and decisive and solution oriented during multiple projects simultaneously.
- Proficiency in the use of project management software with the ability to work on (including and not limited to) G-suite, asana, figma, relevant AI platforms, zoom, slack, loom etc.
- Stellar communication abilities with an internal team and clients and external stakeholders.
Our Ideal Candidate:
- A minimum of 2-5 years experience working in an agency, ecommerce company or consultancy as a project manager and/or combined time as an account manager as long as you have project management experience.
- Experience working in or with e-commerce businesses ranging from $5M-$150M in ARR.
- Adaptability in the moment, and in the ever changing climate of a world leveraging AI.
- Able to effectively and calmly and effectively communicate, and manage workflow (set forth and provided by company) to enable multiple projects across multiple clients simultaneously.
- Able to communicate effectively to seek clarity on issues and concerns regarding projects with leadership, able to ensure that clients are always being communicated to within the SLA, ensure that all projects and client phases, needs and agendas are prepared.

Core Responsibilities:
- Post client calls manage all deliverables from call, ensure that leadership approves of proposed timelines.
- Post timeline approvals ensure that the team receives all necessary direction, briefs, context, client calendar updates and resources to deliver excellence.
- Manage all client agendas, timelines, calendars, phases and roadmap reconciliations.
- Provide feedback to team members + reminders regarding projects, questions and supporting to keep projects moving forward.
- Ensure that all clients have their quarterly review decks ready for the quarterly review presentation, partnering with the internal departments to deliver.
- Supporting the other PM’s with process improvements, AI adaptations & better client communications.
- Ensure that team members stay on time and regularly a minimum of 2-4 weeks ahead of work schedule to enable leadership and other team members to edit and review projects and provide time for rounds of feedback.
- Provide an EOD PM summary (formatting provided) to SLT daily in preparation for the upcoming day.
- Update/manage and Asana + Client Marketing calendars for outstanding projects / client comments, client agenda adaptations based on client needs and feedback and that all edits from client are always applied
- Sweep Slack for outstanding projects / threads/ client comms - follow up with team members
- Ensure that clients are communicated to with the same day SLA and feel that they are deeply cared for and managed by us. Clients should never have to follow up with any project.
- SLT & Client meeting management + additional meetings including trainings DPM + core call + trainings + team feedback meetings + AI application.
- Manage, develop, & deploy new team member onboarding, managing the new hire process and team integration when relevant.
- PM - manage projects and make sure they stay on task, report up on project status and flag concerns to leadership and team when relevant, and any predictive timeline concerns regarding team members being OOO or clients being OOO.
- Update & manage client dossiers accordingly + announce to team members
- Track team errors on projects confirming they are aligned with brand
- Track client edits to ensure that the clients are staying on track with the 2 allotted edits
- Track immediate requests on projects from clients - ensure all edits make sense and are not client preference but adhere to brand standards and strategy.
- SOP building, taking current SOPs testing, improving and implementing them. Supporting Rachyl in identifying SOP gaps and documentation.
- Actively participate in and support with client meetings in the form of real time solutioning, resource gathering, timeline building and project phase updating, calendar updates, client next agenda updates and scheduling subsequent meetings.
- Develop and maintain strong relationships between Longplay and our clients, based on your authenticity, collaborative nature, leadership and continued success with their accounts.
- Continuously work to understand client needs and communicate those needs when relevant up to the SLT to allow us to better serve our clients.
- Plan, organize, and execute strategic and tactical objectives internally, ensure that the entire team is mobilized and managed through all issues and needs.
- Define and manage deliverables, budgets, risks and timelines and consider individual work loads so as not to overload any one individual.
- Strive to always learn from completed projects by organizing and drafting pros and grows and reporting them to SLT, with trends.
- Continuously work to Improve efficiency of accounts and how we support our team through optimizing processes and thinking with future growth, delivering excellence and AI in mind.
- Set up and coordinate all tasks and deliverables required to successfully launch a new email campaign.
- Define, develop, and maintain launch timelines with defined owners, milestones, duration, deliverables, and approvals by diligently following processes set out by SLT.
- Ensure projects are properly tracked for allotted time spent to stay on budget, by helping to track total hours per client.
- Participate in and lead project management discussions on client calls and ongoing project planning meetings with our internal team .
- Analyze projects that took longer or shorter than planned to track performance, identify issues, trends and opportunities, and bring forward recommendations to continuously improve our project management systems.
- Ensure the appropriate resources needed by Creative, Strategy & Implementation teams are available by proactively planning and analyzing bottlenecks with the leadership team to identify and address gaps
- Facilitate and manage onboarding process for new clients. Including but is not limited to:
- Sales work and pre- agreement kanban management, client comms, meeting scheduling and deck prep with internal team.
- Manage all action items, and client follow ups as well as client training for any and all tools to ensure that they are ready to integrate easily into our systems.
- Manage the decks and the internal team needs to adapt and develop or customize for client
- Next steps, follow ups and client recaps after the calls.
- Set up internal and external systems and systems accesses as well as asset collection and PM onboarding deck support.
- Create a smooth transition from their previous workflow to ours, work to always over communicate and over deliver.
