Medical Office Assistant & Care Coordinator

We are a growing pediatric practice with an integrative approach seeking a friendly, organized, and dependable Medical Office Assistant to help create an exceptional experience for the children and families we serve.
This role is ideal for someone who enjoys working with families and children, thrives in a small team environment, pays close attention to detail, and takes pride in helping things run smoothly behind the scenes. Healthcare experience is preferred but not required.
What You'll Do
- Welcome families and create a warm, positive experience from the moment they arrive
- Answer phones, emails, and patient inquiries with professionalism and kindness
- Schedule appointments and assist with ongoing calendar management
- Support new patient onboarding and answer questions about our practice
- Assist with patient check-in and check-out
- Coordinate referrals, records requests, and follow-up communication
- Maintain accurate patient records and documentation
- Assist with administrative projects and day-to-day clinic operations
- Monitor incoming tasks and help ensure nothing falls through the cracks
- Support a clean, organized, and welcoming office environment
- Help with inventory
What We're Looking For
- Excellent communication and customer service skills
- Strong organizational skills and attention to detail
- Comfortable learning and using technology, EMR/EHR systems, and online platforms
- Ability to multitask while maintaining accuracy
- Professional, dependable, and self-motivated
- Heart for holistic and integrative healthcare
- Enjoys building relationships with children and families
- Ability to maintain patient confidentiality and follow HIPAA requirements
- Previous medical office, healthcare, or administrative experience is a plus, but not required
