Overview
We are a small, agile company looking for a meticulous and reliable Part-Time Bookkeeper to manage our monthly financial cycle. This role is perfect for a highly organized professional who enjoys "owning" the books for a small business and ensuring everything runs like clockwork.
You will primarily focus on accounts payable, client invoicing, and tax compliance. We are looking for a candidate who strikes the right balance between high-level expertise and cost-efficiency.
Core Responsibilities
Your monthly workflow will include:
- Reporting & Billing: Generating and formatting monthly time reports from Teamwork for internal review and handling all monthly invoicing to our clients.
- Accounts Payable: Managing A/P workflows through Melio on an as-needed basis to ensure vendors are paid accurately and on time.
- Reconciliation: Performing monthly account reconciliations to maintain "audit-ready" financial records.
- Tax Compliance: Managing quarterly estimated tax payments for both Federal and State requirements.
- Year-End Support: Assisting with documentation for annual filings.
Required Qualifications
- Minimum 3 years of bookkeeping experience supporting small businesses.
- Demonstrated proficiency in QuickBooks Online, including transaction management, reconciliations, reporting, and month-end processes.
- Experience managing accounts payable and accounts receivable functions.
- Experience performing monthly bank, credit card, and loan account reconciliations.
- Experience generating and managing client invoices.
- Working knowledge of quarterly estimated tax payment processes for business owners.
- Ability to prepare accurate financial records and maintain audit-ready documentation.
- Strong attention to detail and ability to identify, investigate, and resolve discrepancies.
- Ability to work independently with minimal supervision and consistently meet recurring monthly deadlines.
- Excellent organizational, written communication, and time management skills.
- Ability to maintain confidentiality when handling financial and client information.
Preferred Qualifications
- Experience serving as the primary bookkeeper for a small business with fewer than 50 employees.
- Experience supporting professional services, consulting, HR, legal, accounting, or other project-based businesses.
- Experience using Teamwork, Toggl, Harvest, or similar time-tracking systems.
- Experience using Melio or similar accounts payable/payment platforms.
- Experience supporting payroll processes through Gusto or similar payroll systems.
- Experience preparing Forms 1099 and year-end tax documentation.
- PTIN and experience preparing individual and/or business tax returns.
- Associate's or Bachelor's degree in Accounting, Finance, Bookkeeping, or a related field.
- Experience developing or improving bookkeeping, invoicing, and financial reporting processes.
