JOB DESCRIPTION
Luminous MediSpa is a Growing Medical Spa in Katy, TX. We are looking for a Front Desk Coordinator that is customer service oriented, dependable, organized and loves the industry. We are seeking a positive, energetic, and bilingual customer-service-focused individual to join our Medical Spa. This role will provide direct support to our MedSpa provider(s) and assist the front office in day-to-day operations.
The ideal candidate will have experience working in a Medspa or Cosmetic Dermatology office and possess comprehensive knowledge of medical aesthetic procedures and skincare products.
Job Duties & Responsibilities:
Provide exceptional patient experience, focusing on high patient satisfaction and quality care, through maintaining expert knowledge of our Practice's services and product lines to provide patients accurate information and address/troubleshoot any concerns or complaints.
Maintain an upscale ambiance of our Practice and Medspa by ensuring all public areas are clean and appropriately stocked at all times.
Greet all patients, visitors, and guests promptly and courteously upon arrival. Check-in/check-out patients, collect payment at time of service and promote any current specials to new and existing patients to maximize sales.
Schedule, confirm, and reschedule appointments, as needed, including encouraging Medspa patients to book follow-up appointments for maintenance treatments.
Answer phone calls in a timely, courteous, and professional manner, and provide comprehensive knowledge of all procedures provided at our Practice.
Directly handle incoming calls & online inquiries regarding Medspa services to Spa provider(s) and cross-promote treatments, products, spa packages, and current specials.
Conduct phone consultations before booking initial appointments, to provide patient education and determine if they are a good candidate for the desired procedure(s).
Serve as the liaison between Medspa Provider(s) and patients to help guide them through the consultation process, including pre & post-care instructions and skincare regimens.
Review patient charts to ensure health history, demographics, and treatment consent forms are complete and up-to-date.
Assist providers and clinical team in providing quotes, coordinating care, rooming patients, signing consents, taking before & after photos, assisting during treatments,.
cleaning/stocking rooms in between patients, etc. Conduct follow-up calls/emails to current and prospective patients to increase patient retention, and encourage patients to write reviews and testimonials to help build Medspa practice.
Help grow Medspa by generating new ideas, including filming and creating content, to assist the marketing team in building Medspa's social media accounts.
Assist in administrative tasks including maintaining accurate patient records in EMR and other patient logs/systems.
Enroll patients in rewards, as well as other loyalty programs.
Hold a high level of professionalism at all times while interacting with patients, patients' families, visitors, and staff.
Maintain a positive attitude, a well-groomed appearance, and professional attire at all times.
Practice patient confidentiality by HIPAA guidelines and follow all Company protocols, policies, and procedures at all times. Other duties, as assigned or requested.
Skills & Requirements:
Education: High School Diploma, or GED equivalent, required.
Experience: 1 years of front desk/receptionist experience in a medspa, cosmetic dermatology, or aesthetics practice, required.
Exceptional verbal and written communication and strong organizational skills.
Knowledge of skin care products and medical aesthetics, with a strong interest in staying up-to-date with the latest techniques and trends in aesthetic treatments.
High attention & care to detail, with natural strong aesthetic sensibilities.
Strong computer and typing skills, including fluency in word, excel, email, and EMR systems.
Job Type: Full-time
Pay: $16.00 - $18.00 per hour
