Position Overview
As an Operations Assistant, you will help support the day-to-day operations of our construction projects and office. You'll work alongside our Project Managers and operations team to help coordinate projects, communicate with vendors and subcontractors, purchase and track materials, organize project information, and keep important tasks moving forward.
This position is ideal for someone who enjoys staying organized, solving problems, communicating with different people, and working in a fast-paced environment where every day can be a little different.

Key Responsibilities:
Project Coordination
- Assist Project Managers with day-to-day project coordination and administrative tasks.
- Maintain project files, documents, schedules, and records.
- Follow up with subcontractors and vendors regarding project requirements, schedules, and outstanding items.
- Assist with tracking project deadlines, inspections, deliveries, and other important milestones.
- Help prepare and organize RFIs, submittals, change orders, proposals, and other project documentation.
- Coordinate information between the office, field team, subcontractors, vendors, and clients.
- Assist with project closeout documentation and punch list tracking.
Purchasing & Vendor Coordination
- Request pricing and quotes from vendors and suppliers.
- Assist with purchasing construction materials, equipment, fixtures, and supplies.
- Compare vendor pricing, availability, specifications, and lead times.
- Prepare and track purchase orders.
- Follow up on orders and confirm expected delivery dates.
- Coordinate deliveries with project managers and field personnel.
- Maintain organized vendor and supplier information.
- Help identify alternative products or suppliers when materials are unavailable or delayed.
- Communicate with vendors regarding order discrepancies, damaged materials, returns, and replacements
Office Administration
- Answer and direct phone calls and emails as needed.
- Maintain organized digital and physical project files.
- Assist with scheduling meetings, appointments, inspections, and deliveries.
- Prepare basic correspondence, spreadsheets, reports, and internal documents.
- Assist with data entry and maintaining company records.
- Track outstanding documents and follow up with the appropriate parties.
- Provide general administrative support to Project Managers and management.
- Assist with other office and operational tasks as needed.
Qualifications
- High school diploma or equivalent required; college coursework or degree is a plus.
- No previous construction experience required; training will be provided.
- Strong organizational skills and attention to detail.
- Good written and verbal communication skills.
- Comfortable communicating with vendors, subcontractors, and team members.
- Ability to manage multiple tasks and follow up on outstanding items.
- Basic proficiency with Microsoft Office, including Outlook, Word, and Excel.
- Comfortable learning new software and construction terminology.
- Ability to work independently while also collaborating with a team.
- Reliable, responsible, and willing to learn.
Preferred Qualifications
- Previous office, administrative, customer service, purchasing, or coordination experience is a plus.
- Familiarity with construction or general contracting is helpful but not required.
- Experience obtaining quotes or communicating with vendors is a plus.
- Bilingual abilities are a plus.

Pay: From $16.90 per hour
