JOB DESCRIPTION
Position Title: Site Director (Full-Time)
Reports To: Program Director of LEAPS
FLSA Status: Exempt
Position Summary
The Site Director is responsible for the overall leadership, management, and daily operation of an assigned Boys & Girls Club school-based site serving approximately 300 youth. The Site Director ensures the delivery of high-quality, safe, engaging, and outcome-driven youth development programming that aligns with the Boys & Girls Club mission, organizational goals, New York State Office of Children and Family Services (OCFS) regulations, and the requirements of the Learning and Enrichment After-School Program Supports (LEAPS) Grant.
The Site Director provides leadership to staff, develops strong partnerships with school administrators and families, manages site operations and budgets, oversees compliance and reporting, and fosters a culture of continuous improvement through data-driven decision-making and high-quality youth programming.
Essential Duties and Responsibilities
Leadership & Program Management
- Direct all daily operations of the assigned school site.
- Ensure implementation of high-quality youth development programs that promote academic success, healthy lifestyles, character development, leadership, college and career readiness, and social-emotional learning.
- Create a welcoming, inclusive, and emotionally and physically safe environment for youth, families, staff, and visitors.
- Develop and implement annual site goals aligned with organizational strategic priorities and grant objectives.
- Monitor program quality using Boys & Girls Club best practices and continuous quality improvement tools.
- Maintain appropriate staff-to-student ratios at all times.
LEAPS Grant Program Implementation
- Ensure all programming aligns with LEAPS grant objectives and New York State Education Department requirements.
- Coordinate evidence-based academic enrichment opportunities that complement the regular school day.
- Partner with school personnel to support student academic achievement, attendance, and engagement.
- Implement activities that support literacy, STEM, arts, physical wellness, college and career awareness, and youth leadership.
- Monitor participant attendance and ensure youth meet grant participation expectations of 95%
- Collect, review, and submit required LEAPS performance measures and program data accurately and on time.
- Assist with grant monitoring visits, audits, and evaluations.
- Support continuous improvement efforts using program outcome data.
- Ensure fidelity to approved grant activities and program schedules.
- Enrollment must meet 305 students
- Participation rate must be 95%
Staff Leadership & Professional Development
- Recruit interview, hire, onboard, supervise, coach, and evaluate site staff.
- Foster a positive team culture focused on youth development and continuous learning.
- Conduct regular staff meetings and individual coaching sessions.
- Ensure staff complete all required organizational, OCFS, CPR/First Aid, Mandated Reporter, LEAPS, and professional development trainings.
- Maintain accurate personnel records and training documentation.
Youth Development
- Ensure members receive engaging, age-appropriate programming that promotes positive youth outcomes.
- Monitor behavior management practices using trauma-informed and restorative approaches.
- Promote youth voice and leadership opportunities throughout programming.
- Support inclusion of students with diverse learning, behavioral, and physical needs.
Family & Community Engagement
- Develop meaningful relationships with families through regular communication and engagement opportunities.
- Organize family engagement events once per month that support student learning and strengthen school-family partnerships.
- Serve as the primary liaison between the Club, school administration, parents, and community partners.
- Conduct regular meetings with school leadership to review program operations, student needs, and partnership goals.
- Develop partnerships with community organizations that enhance programming and available resources.
Program Administration & Compliance
- Maintain accurate enrollment, attendance, and membership records.
- Ensure all required documentation is entered into organizational databases in a timely manner.
- Prepare monthly, quarterly, and annual reports as required by organizational leadership and grant funders.
· Protect the confidentiality of participant and staff information.
- Ensure compliance with Boys & Girls Club policies and procedures.
OCFS Licensing & Regulatory Compliance
- Maintain site compliance with all New York State Office of Children and Family Services regulations.
- Maintain current OCFS licensing binders and required documentation.
- Ensure participant files contain all required enrollment and health documentation.
- Maintain staff files and licensing documentation.
- Coordinate licensing visits and corrective action plans when necessary.
- Conduct routine safety inspections and emergency preparedness drills.
Budget & Resource Management
- Monitor expenditures
- Maintain inventory of equipment, technology, and supplies.
- Ensure facilities remain clean, organized, safe, and well-maintained.
Technology & Data Management
- Utilize organizational information systems for attendance, enrollment, program participation, and reporting. (MY club hub and Path wise)
- Ensure timely and accurate data entry. Analyze attendance, participation, and outcome data to improve program quality.
- Support implementation of organizational technology initiatives.
Marketing & Public Relations
- Promote Club programs within the school and surrounding community.
- Assist with recruitment initiatives to meet enrollment goals.
- Represent the organization professionally during community meetings and events.
- Support organizational communication and marketing efforts.
- Perform additional duties as assigned.
Supervisory Responsibilities
- Direct supervision of Assistant Site Directors, Youth Development Professionals, and site support staff.
- Indirect supervision of volunteers, interns, and contracted service providers.
Qualifications
Education
Bachelor's degree from an accredited college or university in Education, Youth Development, Human Services, Social Work, Recreation, Public Administration, or a related field required.
Master's degree preferred.
Experience
- Minimum five (5) years of progressively responsible experience in youth development, education, after-school programming, or a related field.
- Minimum three (3) years of supervisory experience.
- Experience managing grant-funded programs preferred.
- Experience working in school-based settings preferred.
- Experience with Boys & Girls Clubs, 21st Century Community Learning Centers, LEAPS, or similar state or federally funded after-school programs preferred.
Knowledge, Skills & Abilities
- Strong leadership and organizational skills.
- Knowledge of positive youth development principles.
- Knowledge of LEAPS grant requirements and outcome measurement.
- Working knowledge of OCFS regulations.
- Strong budget management skills.
- Excellent written and verbal communication skills.
- Ability to analyze program data and prepare reports.
- Strong problem-solving and conflict-resolution skills.
- Ability to build collaborative partnerships with schools and community organizations.
- Proficiency with Microsoft Office and data management systems.
- Ability to lead diverse teams and foster an inclusive work environment.
Required Certifications
- CPR/AED and First Aid Certification (or ability to obtain upon hire).
- Mandated Reporter Certification.
- OCFS requires trainings.
- Background clearance and fingerprinting as required by New York State.
Physical Requirements
The position requires standing, walking, bending, reaching, lifting up to 25 pounds, sitting, speaking, hearing, and actively engaging with children throughout the workday. The position includes both indoor and outdoor work environments with moderate noise levels.
