Job Overview
We are seeking a dedicated and professional as a ministry associate for our church. Responsibilities will include front Desk receptionist, administrative assistant for our staff, coordinating groups for our church, and some communications responsibilities including email newsletter and database management for our our church. The ideal candidate will serve as the first point of contact for our guests providing exceptional customer service while managing various administrative tasks. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced, people-focused environment.
We are seeking an individual who is proficient with technology, including Google Docs,an online database, and some experience with Canva. Additionally, the ideal candidate should have some experience in creating weekly email blasts.
Hours are 8:45a-4:15p, Monday-Thursday. We are closed every Friday.
Our HHICC Campus is closed Labor Day, Thanksgiving Day, Christmas Day, New Year's Eve, Easter Monday, Memorial Day, Juneteenth, and July 4th.
Duties
- Welcome all HHICC Campus guests and vendors during work week.
- Manage incoming calls using effective phone etiquette, directing calls to appropriate staff as necessary.
- Handle clerical duties including filing, scanning, and maintaining office supplies.
- Maintain confidentiality of sensitive information in compliance with church policies.
- Coordinate volunteers to cover reception of the Community Center when unavailable.
- Manage physical needs on HHICC Campus for both the Community Center & Main Building with regard to set up for usage, cleaning, maintenance, access for others, and overall presentation.
- Check the mailbox & PO Box and sort all HHICC mail.
- Assist ministry staff with administrative or ministry needs as requested.
- Work with a Virtual Executive Administrator on facility use, calendar, and weekly events on campus.
- Keep the Community Center tidy including closet areas and open areas all week.
- Remove trash, straighten chairs, and assist with any prep or post needs for groups, classes, or other events that meet in the Community Center.
- Assist on Thursdays with Sunday preparations for Guest Services, printing, & HHI Students Youth group preparations as requested.
- Coordinate all aspects of managing small groups for our church
- Assist Creative Director with database management and weekly e-blasts and other tasks within communications.
Requirements
- Comfortable greeting people as a receptionist or similar administrative role is preferred.
- Proficiency in Google Workspace applications and familiarity with phone systems. .
- Excellent phone etiquette and interpersonal skills are essential for guests interactions.
- Comfortable walking between two main buildings on our campus as needed throughout the day.
- Comfortable interacting with different types of people and capable of handling individual situations as needed with a positive attitude, professionalism, and a commitment to providing assistance but yet working within parameters.
- Computer skills and the ability to learn new programs are essential.
Pay: Up to $30.00 per hour
