The role of a veterinary receptionist is to provide an exceptional standard of care for all patients and clients thru offering a friendly greeting by phone and in person. Receptionist must have compassion for animals and their owners and understand the stress that patients and clients endure.
Reception Duties:
· Initial greeting of clients upon arrival.
· Prompt and efficient answering of calls.
· Schedule appointments.
· Accurately use the practice management system to arrange appointments, register clients and pets, print invoices, and take payments.
· Assess the urgency of a pet’s condition when booking emergency appointments -with guidance.
· Call to confirm appointments.
· Answer basic questions from clients (no medical advice is to be given over the phone unless stated by the doctor).
· Develop flea and heartworm preventative knowledge to be able to provide advice on the products we sale.
· General clerical duties including filing, emailing, and scanning.
· Prepare charts for the following day.
· Fill prescriptions.
· Call in prescriptions to outside pharmacies.
· Write and send welcome/ sympathy cards.
· Send reminder post cards monthly.
· Monitor online store to approve prescriptions.
· Ensure exams rooms are sanitized/ vacuumed between each patient.
· Call patients into exam room.
· Stock medication/ supplies.
· Price and put away stock.
· Check mail/ put outgoing mail in box.
· Assist Doctor as needed.
