Job Description
Pay: $26.50–$34.00 per hour, depending on experience, skill level, reliability, and fit for the role.
Candidates with stronger monday.com configuration experience, construction coordination experience, or field-service scheduling experience may be considered toward the higher end of the range.
Location: 4554 Forestdale Drive, Park City, UT 84098
Work location: In person. This position is not remote.
Schedule
- The standard schedule is Monday through Friday, five 8-hour days, 40 hours per week.
- No weekends
- Our office is open from 7:00 a.m. to 5:30 p.m. Choose a consistent start time in that window that works for your life — your eight paid hours plus any unpaid meal break need to finish by 5:30 p.m.
- We ask you to keep the same schedule each week so our crews, builders, and clients know when you are available
- If 40 hours per week does not work for your family or your life, we can build a consistent schedule as low as thirty hours per week
Quick Picture of the Job
The Operations Coordinator works behind the scenes to support daily operations across Invigor8 Home. From our Park City office, you maintain schedules, monday.com, project records, equipment information, deliveries, and communication so our Project Manager, field leads, and President have accurate information and dependable follow-through.
Invigor8 Home installs custom oxygenation, altitude simulation, and related low-voltage systems in luxury homes throughout Park City and the surrounding mountain communities. Much of our work takes place while homes are still under construction, where project dates, site readiness, equipment deliveries, and client deadlines must all be coordinated carefully.
You help bring those pieces together. You keep schedules and project information current, coordinate dates and details, confirm site readiness, communicate changes, and track open items through completion. When something changes, you help the team understand what else is affected and make sure the necessary updates happen.
You report directly to the President and work closely with the Project Manager, who oversees our projects, and our field leads, who direct the technicians. Your organization and follow-through help the entire team work more effectively.
Who We Are
Invigor8 Home designs, installs, and services custom home oxygenation and altitude simulation systems. We have completed more than 200 oxygenation installations, hold the exclusive Utah distributorship for OxySpace equipment, and were quoted by The Wall Street Journal in its reporting on home oxygenation.
Our clients expect careful work, accurate testing, clear communication, and a professional presence in their homes. We are a team of about a dozen people who care about quality, show up, learn quickly, and keep improving.
In a company our size, strong operational support makes a visible difference. Technicians arrive prepared, the Project Manager works from accurate information, and clients and builders stay informed.
Why This Role Stands Out
- Close collaboration with the President, Project Manager, and field leads
- Meaningful responsibility for the systems, information, and follow-through the company relies on
- A start time that fits your life
- Opportunity to grow after demonstrating sound judgment and consistent performance
- Tuition reimbursement for approved job-related training
- Fuel stipend for commuting of up to $200 per month
- Company-provided iPhone and paid monthly plan
What You Will Do
Operational Coordination
- Support the President, Project Manager, and field leads with the daily coordination behind active projects and service work
- Track open items, next steps, deadlines, and missing information
- Follow up with the appropriate people until each item is resolved
- Identify potential conflicts early and bring them to the right team member
- Keep the team informed about what is moving, what is delayed, and what needs attention
Scheduling and Communication
- Maintain accurate schedules for installations, service calls, warranty visits, and recurring maintenance
- Coordinate scheduling priorities and changes with the Project Manager
- Communicate schedule changes promptly to everyone affected
- Coordinate dates and details with clients, superintendents, vendors, technicians, and other trades
- Call ahead of installations to confirm what is complete and whether the site is ready for our work
- Confirm client move-in dates and other deadlines that affect our schedule
- Update affected appointments, deliveries, records, and future dates when plans change
- Answer incoming calls and route them appropriately
monday.com and Operational Systems
- Maintain monday.com so each project reflects its actual status, next step, deadline, and open items
- Load new projects and keep their information organized throughout the life of the job
- Help build our new monday.com system if you have that experience, or work alongside the outside specialist who builds it and maintain it afterward
- Adjust boards, workflows, automations, and dashboards as our processes evolve
- Help the team use the system consistently and keep its information accurate
- Identify practical ways to make our systems clearer and more reliable
Records, Equipment, and Project Support
- Maintain accurate client, equipment, serial number, warranty, service, and project records
- Track recurring service intervals so service can be scheduled when it comes due
- Coordinate equipment ordering, delivery timing, and staging with the installation schedule
- Track outstanding orders and confirm equipment is available before scheduled work
- Support project closeout by organizing punch items, documentation, equipment records, and final billing information
What Success Looks Like
Projects and service calls have accurate schedules, clear next steps, and current information. The President, Project Manager, and field leads can quickly see where work stands. Clients and trade partners receive timely communication, and open items remain visible through completion. monday.com serves as a dependable source of operational information across the company.
Who Does Well in This Role
You enjoy being the person who keeps important details from getting lost. You can move between schedules, phone calls, project records, equipment details, and follow-up without losing sight of what matters.
You would rather make the call and get a clear answer than send an email and hope someone responds. You document what you learn, update the right people, and close the loop.
When something changes, you naturally think about the people, projects, materials, deliveries, records, and future appointments that may also be affected.
You can follow an established process and suggest thoughtful improvements after you understand how and why it works. You know what you can coordinate directly and when a question or decision needs the attention of the President, Project Manager, or a field lead.
The pace is real, and priorities change. The right person takes satisfaction in bringing order to that environment and helping the entire team work more effectively.
Requirements
- At least two years of experience in operations coordination, scheduling, dispatch, project coordination, construction administration, or a similar role
- At least two years of experience configuring and maintaining a project-management, scheduling, CRM, or operational database platform such as monday.com, Smartsheet, ClickUp, or Airtable
These two areas of experience may overlap.
- Experience maintaining and improving a system you were responsible for
- Confident and professional phone presence, with the willingness to call people you do not know, ask direct questions, and obtain clear answers
- Strong organizational habits, close attention to detail, and accurate written communication
- Ability to manage multiple active items, changing priorities, and competing deadlines
- Demonstrated ability to manage open items and follow through independently
- Ability to recognize how one change can affect people, projects, materials, deliveries, records, and future appointments
- Ability to handle confidential company and client information appropriately
- Ability to work consistently from our Park City office
Experience building monday.com boards, workflows, automations, integrations, or dashboards is a significant plus, but it is not required. Construction, HVAC, electrical, AV, low-voltage, field-service coordination, equipment ordering, and QuickBooks Online experience are also helpful but not required.
Finalists will complete a brief practical exercise using a sample workspace created for the interview process.
