About the role
WNPA is seeking a detail-oriented, self-directed Operations & Membership Coordinator to keep our day-to-day operations running smoothly. You will be the organizational hub for our members and our annual convention, handling accounts payable and receivables, member communications, and event logistics. This is a great fit for someone who is organized, personable in writing, and comfortable owning recurring processes with minimal oversight.
What you'll do
● Manage invoicing and accounts payable: enter and track bills, prepare payments, make bank deposits, and pull QuickBooks reports for our professional bookkeeper (you will interface with the bookkeeper, not replace them).
● Serve as a primary point of contact for member communications — responding to emails, sending updates, and keeping member records current.
● Coordinate logistics for our annual convention and related events: registrations, vendor and venue communications, materials, awards awarding, and scheduling.
● Update website content.
● Provide general administrative support to the Executive Director.
● Assist director with sponsor communications
What we're looking for
● 2+ years of administrative, office coordination, or association/nonprofit support experience.
● Comfort with QuickBooks (or willingness to learn quickly) and basic financial recordkeeping.
● Experience with website content management systems.
● Strong, professional written communication and a customer-service mindset with members.
● Event or convention coordination experience a plus.
● Highly organized, reliable, and able to work independently in a remote setting.
● Able to be in our Browns Point office one day per week.
● Must commit to first weekend of October for convention support. 2026 convention is in Everett, Washington. Annually alternates between Eastern and Western Washington.
