ON-SITE HOA PROPERTY MANAGER (Monday - Friday)
We are seeking an experienced, dynamic, and personable on-site property manager to oversee the daily operations of our HOA community. We believe an excellent property manager is essential in creating professional working relationships with our board members, contractors/vendors, and most importantly, the homeowners in our community.Our ideal property manager will bring a proactive approach to managing our property, possess excellent communication and organization skills, demonstrate a strong knowledge and understanding of legal and administrative procedures related to HOA operations, demonstrate a willingness to learn new things.
Responsibilities
- serve as the primary on-site contact for board members, contractors/vendors, and homeowners providing exceptional customer service and clear and open communication
- manage all aspects of property operations, including maintenance coordination, contractor/vendor relations, and facilitate management to ensure our property is well-maintained and compliant with our Rules and Regulations
- oversee property maintenance involving the creation of work orders for our maintenance person, scheduling appointments, conducting inspections, and overseeing our maintenance person to ensure our property is safe and well maintained
- handle data entry tasks such as filing resident records, maintaining accurate logs of maintenance requests, work orders, postage, rebates, incident reports , homeowner charge backs, and violations, and updating property management database
- enforce community rules and regulations consistently; handle violations professionally while negotiating resolutions that uphold our community standards
- assist with legal administrative responsibilities related to lease enforcement, contract reviews, and compliance documentation
- conduct regular on-site inspections to monitor property conditions, regulate violations and fines, and coordinate necessary repairs or improvements in collaboration with our maintenance person, contractors/vendors, and board of directors
- work with board members on various projects such as the annual budget, asphalt/concrete/sealcoating, landscaping, pool, pond, roofing, sump pump inspections, etc.
- prepare reports on property status, financials, and resident issues/concerns; assist with budgeting and financial tracking related to property operations
- coordinate property inspections, repairs, and maintenance schedules; supervise our maintenance person and contractors/vendors to ensure quality service delivery
- maintain accurate records using our software; handle data entry, filing, and documentation related to homeowner charge backs, leasing, legal matters, on-site payment transactions, MAC Requests from homeowners, pool photo IDs, sump pump inspections, and violations.
- address homeowner inquiries promptly via phone, e-mail, or in person; provide exceptional service while resolving conflicts through effective conflict management strategies
Experience/Skills
- must hold a current Illinois Community Association Manager (CAM) license
- proven experience and strong background knowledge of property management with a willingness to learn new things
- hands-on experience with Microsoft Office, Excel, Caliber, or similar property management software; proficiency in data entry and record keeping is essential
- strong understanding of contract negotiations and conflict resolution techniques
- excellent customer service skills (listening skills and open and clear communication skills) combined with professional phone etiquette
- highly organized individual with office experience involving multi-tasking
- ability to manage our property efficiently while maintaining attention to detail in a fast-paced environment
