Job Overview
We are seeking an energetic and highly organized Office Manager/Administrative Assistant to join our dynamic team. This pivotal role combines office management with administrative support, ensuring smooth daily operations and exceptional client service. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills to handle a variety of clerical tasks, coordinate schedules, and maintain a welcoming office environment. Your expertise in office software, data entry, and customer support will help foster productivity and efficiency across all departments.
Duties
- Manage daily office operations, including overseeing supplies, equipment, and facility maintenance to ensure a well-functioning workspace
- Serve as the front desk receptionist, answering phone systems, and directing calls with professionalism and courtesy
- Maintain accurate records through data entry, filing systems, and document management using Microsoft Office Suite applications
- Coordinate calendar management for executives and team members, scheduling appointments, meetings, and conference calls efficiently
- Handle bookkeeping tasks such as invoicing, expense tracking, and basic financial recordkeeping using QuickBooks Online.
- Performing weekly Payroll and subsequent tasks using third-party payroll provider's software
- Provide exceptional customer service by assisting clients via phone or email, addressing inquiries promptly and professionally
- Support administrative functions including reconciling bank statements, managing correspondence, organizing files, and ensuring timely completion of tasks
Work Schedule
- Monday – Friday: 7:00 a.m. – 4:00 p.m.
- Saturday: As needed (very rarely)
- This is primarily a full-time, daytime position. Occasional flexibility may be required during peak landscaping seasons or to support business needs.
Experience
- Proven experience in office management or administrative support roles with a minimum of several years of clerical experience
- Strong proficiency in Microsoft Office (Word, Excel, Outlook) and productivity software
- Familiarity with QuickBooks is highly preferred
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Demonstrated ability to communicate clearly via phone and email; bilingual skills are a plus for client interactions
- Experience handling multi-line phone systems, front desk duties, and customer service responsibilities
- Technical proficiency in computer literacy including data entry, proofreading, filing systems, and calendar management
