Healthspan Partners (HSP) is a rapidly growing, innovative multi-state telehealth dementia care organization working in alignment with the Centers for Medicare & Medicaid Innovation (CMMI). We are seeking a highly organized, tech-savvy, and solutions-oriented Healthcare Operations Specialist to join our team.
This is an exceptional opportunity to play a key role in a mission-driven healthcare startup that is transforming care for individuals living with dementia and their caregivers. The ideal candidate has experience in healthcare operations and scheduling, is highly proficient with Microsoft 365 tools, can absorb and manage large amounts of information, and enjoys solving complex operational challenges by creating efficient, long-term solutions.
Key Responsibilities
Healthcare Scheduling & Care Coordination
- Manage patient scheduling for telehealth and telephone visits.
- Coordinate appointments and services with provider organizations, home health agencies, home care providers, and community partners.
- Monitor scheduling workflows to ensure timely completion of services.
Clinical Administration
- Perform detailed chart reviews within Electronic Health Record (EHR) systems.
- Maintain accurate documentation and support care team workflows.
Operations & Process Improvement
- Identify operational inefficiencies and develop scalable, long-term solutions.
- Create, maintain, and improve workflows, systems, and procedures.
- Support cross-functional operational initiatives as the organization continues to grow.
Project Tracking & Data Management
- Maintain project tracking logs, dashboards, and operational reports.
- Ensure accuracy and integrity of program data.
- Manage multiple priorities while maintaining exceptional attention to detail.
Technology & Systems Support
- Utilize Microsoft Teams, Lists, Bookings, Forms, and Excel extensively in daily operations.
- Learn and adapt quickly to new software platforms and healthcare technologies.
- Assist with building and maintaining operational systems and processes.
Requirements
Healthcare Operations Experience
- Experience in healthcare administration, healthcare operations, patient scheduling, care coordination, medical office administration, or a related field.
Microsoft 365 Proficiency
- Strong working knowledge of:
- Microsoft Teams
- Microsoft Lists
- Microsoft Bookings
- Microsoft Forms
- Microsoft Excel
- Ability to quickly learn additional software platforms and EHR systems.
Critical Thinking & Problem Solving
- Demonstrated ability to analyze problems, identify root causes, and implement sustainable solutions.
- Strong independent decision-making skills and sound judgment.
Highly Organized & Detail-Oriented
- Exceptional organization and follow-through.
- Ability to absorb, retain, and apply large amounts of information.
- Ability to manage multiple projects and competing priorities without sacrificing accuracy.

- Experience with telehealth operations.
