Position: Front Desk Receptionist
Reports To: Healthcare Administrator
FLSA Status: Exempt
Position Summary
The Receptionist serves as the first point of contact for patients, visitors, and community partners, ensuring a welcoming, professional, and patient-centered experience. This position is responsible for coordinating front office operations, scheduling appointments, maintaining patient records, collecting payments, and supporting the efficient daily operations of the healthcare environment. The Receptionist plays a critical role in supporting quality patient care through excellent customer service, organization, and administrative support.
Essential Duties and Responsibilities
The essential functions include, but are not limited to, the following:
- Greet and assist patients, visitors, and vendors in a professional and courteous manner.
- Answer incoming telephone calls, respond to inquiries, and direct calls appropriately.
- Schedule, confirm, and coordinate patient appointments to maximize provider efficiency and patient satisfaction.
- Maintain accurate patient demographic, insurance, financial, and medical information within the electronic health record (EHR) system.
- Verify patient information, collect required documentation, and ensure records are current and complete.
- Collect patient payments, post charges, issue receipts, and support billing and payment collection activities.
- Maintain confidentiality of patient medical, personal, and financial information in compliance with HIPAA and organizational policies.
- Monitor front office operations to ensure efficient patient flow and positive patient experiences.
- Maintain office inventory and supplies by monitoring stock levels, ordering supplies, and coordinating equipment maintenance or repairs as needed.
- Follow organizational policies, procedures, and compliance standards.
- Assist with administrative and operational projects as assigned.
- Collaborate with clinical and administrative staff to support high-quality patient care and organizational goals.
- Perform additional duties and responsibilities as assigned.
Minimum Qualifications
- High school diploma or equivalent required.
- Certification as a Medical Assistant and/or training in payment collection preferred.
- Minimum of one (1) year of experience in a healthcare, medical office, or patient services environment preferred.
- Experience with direct patient interaction and customer service.
- Experience using Electronic Health Records (EHR) systems.
- Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook.

Physical Requirements
- Prolonged periods of sitting, standing, and working at a computer.
- Ability to communicate effectively in person and by telephone.
- Ability to occasionally lift office supplies and materials up to 20 pounds.
Work Environment
This position operates primarily in a healthcare clinic and office environment with frequent interaction with patients, staff, and visitors.
Job Type: Full-time
Pay: $40,000.00 - $43,500.00 per year
