Job Description & Responsibilities
Operational Support & Project Coordination:
· Provide day-to-day operational support to the Operations Manager, including strategic initiatives and special projects.
· Assist with company billing processes and operational administrative functions.
· Coordinate project timelines, deliverables, action items, and follow-up tasks.
· Schedule meetings, prepare agendas and supporting materials, and coordinate calendars.
· Attend meetings, prepare detailed meeting minutes, and track assigned action items through completion.
· Monitor ongoing projects and proactively communicate with team members regarding deadlines and priorities.
Process Improvement & Operational Excellence:
· Identify opportunities to improve operational efficiency and standardize internal processes and workflows.
· Research and recommend technologies, software solutions, and automation opportunities.
· Develop, implement, and maintain Standard Operating Procedures (SOPs), forms, templates, and internal documentation.
· Coordinate process improvement initiatives designed to enhance productivity and organizational effectiveness.
· Independently recommend and implement process improvements when appropriate.
Reporting & Administrative Responsibilities:
· Prepare reports, spreadsheets, presentations, and operational metrics utilizing Microsoft Office applications.
· Assist with data collection, analysis, and reporting to support business decision-making.
· Organize and maintain operational documentation and shared resources using Microsoft Teams and SharePoint.
· Maintain confidentiality while handling sensitive business information.
· Perform other operational, administrative, and project-related duties as assigned.
Qualifications/Skills
· Two (2) to five (5) years of experience in operations, project coordination, executive support, office management, or a related field preferred.
· Advanced proficiency with Microsoft Office 365, including Excel, Outlook, Word, Teams, and SharePoint.
· Exceptional organizational and time management skills with the ability to prioritize multiple projects.
· Strong written and verbal communication skills.
· Demonstrated ability to work independently, solve problems, and take initiative.
· Strong attention to detail and commitment to accuracy and follow-through.
· Ability to quickly learn new software systems and effectively utilize technology to improve efficiency.
Preferred Skills
· Experience supporting operational or process improvement initiatives.
· Experience utilizing project management or workflow management software.
· Ability to anticipate organizational needs and think several steps ahead.
· Comfortable working with minimal supervision in a fast-paced environment.

Schedule
· Full-time position.
· Employees may become eligible to work remotely one (1) to two (2) days per week following successful completion of a ninety (90) day introductory period and consistently meeting performance expectations.
· Remote work eligibility is subject to business needs, office workload, project demands, and continued satisfactory job performance.
Employees are eligible for a formal performance review after six (6) months of employment, with annual performance reviews thereafter. Compensation adjustments are based upon individual performance, contributions, business needs, and market considerations
Pay: $26.00 - $36.00 per hour
