We are seeking a Part-Time, In-Office Office Assistant to join our growing team in Los Angeles. This position reports directly to the Business Manager and works closely with the administrative and leadership teams to support daily operations, project coordination, and office management. The ideal candidate is highly organized, proactive, adaptable, and capable of managing multiple responsibilities in a fast-paced studio environment.
This role requires strong communication skills, attention to detail, and the ability to work both independently and collaboratively. The Office Assistant plays an important role in supporting the efficiency, organization, and culture of our studio.
Responsibilities
Administrative & Business Support
- Support the Business Manager with day-to-day administrative and operational tasks
- Maintain calendars, schedules, deadlines, and internal tracking systems
- Assist with document management, filing, and data organization
- Enter timesheets, expense reports, and other administrative records
- Coordinate meetings, travel arrangements, and office communications
- Draft emails, meeting notes, and general correspondence
- Assist with special projects, events, and studio initiatives
- Support implementation of company standards and internal procedures
Project & Team Coordination
· Assist with scheduling, documentation, and coordination
· Create submissions, applications, and other documents for conferences, awards, etc.
· Support purchasing of materials and setting up of booths
· Help maintain task logs and monitor deadlines
· Attend meetings and follow up with team as needed
Office Maintenance & Support
- Perform routine office upkeep, including restocking supplies and maintaining common areas
- Assist with office organization, furniture rearrangement, and light handyman tasks
- Coordinate mail, deliveries, and errands
- Monitor office equipment and report maintenance or repair needs
- Help maintain a professional, organized, and welcoming office environment
Qualifications
We are looking for a professional with 2–4 years of experience in related fields such as administration, accounting, architecture, construction management, bookkeeping, logistics, or similar industries. The ideal candidate is resourceful, dependable, and comfortable balancing a variety of responsibilities.

General knowledge of the architecture and construction industries is helpful but not required.
