Job Overview
We are seeking a proactive and detail-oriented Family Office Coordinator to join our dynamic team. In this vital role, you will manage a wide range of financial and administrative functions to ensure that the office functions smoothly on a day-to-day basis. Serve as the initial contact for clients, prospects, and vendors visiting or calling the office. Provide administrative support for the Advising, Investment, Operations, and Sales Teams.
Duties
- Support the management of investment portfolios by tracking transactions, performing account analysis, and liaising with external financial advisors as needed.
- Provide administrative support for the Advising, Investment, Operations and Sales teams.
- Act as liaison between Advisors, Investments, and Operations.
- Act as an extension of the Advisors’ relationships with client families, maintaining a presence with clients in their Advisors’ absence (i.e. in meetings or traveling).
- Maintain and optimize Legacy’s client, prospect and vendor contact database (Levitate).
- Process and track all client and prospect communications
- Support the Event Coordinator with the planning and execution of marketing events and other communications as needed.
- Process and distribute daily incoming and outgoing mail including FedEx, etc.
- Maintain office phone lines and voicemail system, holiday messages, call forwarding, etc. (Zoom).
- Coordinate and follow through on client requests including requests for distributions and bill payments.
- Assist Advisors with client meeting preparation and follow up to include preparing agendas and deliverables, drafting meeting summaries and following up on action items. Assist Sale Team with prospect communications, tracking progress, scheduling meetings, and preparing meeting deliverables.
- Coordinate office preparation for various meetings including client performance reviews, private equity and quarterly board meetings (may include ordering lunch or assisting with presentation preparation and clean up) and provide overall assistance in the day-to-day functions of the office.
- Internal coordination with Operations Team providing administrative support for new account onboarding.
- Additional projects on an as-needed basis (i.e. new software integrations/onboarding, cleaning up data and information in existing systems)
- Excellent organizational skills with the ability to handle multiple priorities efficiently while maintaining attention to detail.
- Serve as a symbol of the Legacy professional.
Qualifications
- Associates degree or equivalent professional experience; bachelor's degree preferred.
- Minimum of 3 years of administrative, client service, financial services, wealth management, banking, trust, or professional office experience.
- Exceptional written and verbal communication skills.
- Strong proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
- Experience managing multiple priorities in a fast-paced, deadline-driven environment.
- Demonstrated ability to maintain strict confidentiality and exercise discretion when handling sensitive client and company information.
- Experience in a trust company, registered investment advisory firm, family office, accounting firm, law firm, or financial institution preferred.
Pay: $50,000.00 - $55,000.00 per year
