The Administrative and Membership Coordinator provides practical, hands-on support for NEMA’s membership, conference, office, and routine program operations. This part-time role is designed to add bridge capacity during a period of staff and leadership transition, help with the ongoing workflow of a small team, and support recurring administrative and logistical work easier to track and manage. In the near term, there will be a particular focus on supporting the November conference (in Mystic, CT) and on recurring membership and administrative tasks.

Roles and Primary Responsibilities
This position reports to the Executive Director and receives day-to-day work assignments from the Director of Membership and the Director of Administration.
The Coordinator will provide practical administrative, logistical, and communications support to NEMA’s membership, conference, program, and office operations. Assignments will vary throughout the year based on conference deadlines, membership cycles, office needs, and organizational priorities.
Potential assignments may include:
Conference and Event Support

Provide support on a variety of pre-conference related activities, including registration, exhibit hall, and conference sessions

Provide support on a variety of program-related activities, including workshop document creation, lunch-order coordination, and registrant lists

Maintain conference resources such as first-time attendee information, roommate/carpool matching, and related participant supports

Support virtual programs and virtual meetings, including setup, attendance tracking, and follow-up

Assist with post-event evaluations, surveys, reporting, and follow-up communications
Membership Support

Assist in maintaining and updating the membership database, including tracking member information, processing renewals, and scheduling emails

Assist with generating and sending membership mailings, which may include member cards, renewal notices and lapsed member campaigns

Help manage the association's online member portal (YourMembership) and communities, including moderating discussions, posting resources, and responding to member inquiries

Respond to routine member inquiries by email, or direct questions to the appropriate staff person.

Assist in organizing and maintaining NEMA's member benefit programs, such as discounts or partnerships with other organizations, the Museum Admission Program, and the Museum Document Exchange

Assist in organizing and maintaining the association's member recognition programs, such as Excellence Awards, Publications Awards, and Lifetime Achievement Award

Assist in coordinating member events (meet-ups and networking events)
Communications Support

Support social media scheduling, content posting, graphics preparation, and basic engagement tracking, as assigned

Help prepare templates, forms, graphics, links, lists, and other communications materials

Maintain an up-to-date press release list for NEMA
Shared Administrative and Office Support

Provide flexible support for recurring administrative tasks that help the organization function smoothly

Streamline data and information processing for the Director of Administration as it relates to programs (i.e. NEMA Stats, NEMA Jobs, etc.)
Work Location and Schedule: This is a part-time position of approximately 10-20 hours per week with the possibility of additional hours depending upon projects. Flexible hours with an average of 15 hours a week (December and January are slower months). The role is hybrid, with an expectation of being in the NEMA office in Arlington, MA several times a month, with flexibility based on organizational needs, conference deadlines, and the Coordinator’s availability. Additional in-person time may be requested during the lead-up to the November conference or for special events.

Experience with Zoom, Google Workspace, Microsoft Office, shared drives, spreadsheets, and database systems

Knowledge about museums, nonprofit work, arts and culture, professional associations, or membership organizations preferred
