HOUSE DIRECTOR
The House Director role is a part-time property management position and can perform their duties in substantially less than forty (40) hours per week. It will require an average of ten (10) hours of the House Director’s time per week, including at least ten (10) hours on property or on-call. The House Director would regularly reside within the property and report to the Regional Facility Manager. The primary responsibility of the House Director is to provide property management administration for the real and personal property of the assigned facility.
ESSENTIAL DUTIES AND RESPONSIBILITES
I. Have a consistent, in-person presence on a weekly basis within the facility.
II. Oversee, document, and report property conditions.
a. Visually inspect the exterior and interior of the facility, the grounds, and the major systems servicing the facility at least once a week via an Inspection Report.
b. Note facility issues and enter them as Work Orders (WO) into the RPG property management system in a timely fashion.
c. Work with RPG staff to coordinate or arrange for all needed repairs and/or cleaning.
i. Receive approval from RPG Staff to proceed with gathering a quote and scheduling of work.
ii. Seek RPG approval of any new furniture or fixtures implemented in the property especially when updates are made to align with RPG branding and company standard material selections.
iii. Meet with vendors on site for work.
iv. Inspect the work completed by a vendor to ensure it was completed or what the next steps are for the issue. Report any concerns to RPG.
d. Inspect and document all damages to common areas with a written report and photographs.
e. Inform RPG of any repairs, improvements, or alterations performed by occupants that were not previously approved.
f. Perform a daily property inspection during periods of extended academic breaks, including Fall Break, Thanksgiving Break, Winter/Christmas Break, and Spring Break that are no more than 3 days apart.
g. Ensure all facility signage is properly displayed and not damaged.
h. Where a Commercial Kitchen is present in the facility…
i. Report cleanliness issues for the kitchen.
ii. Note facility issues for the kitchen and its equipment and enter them as Work Orders (WO) into the RPG property management system in a timely fashion.
iii. Periodically inventory and audit kitchen equipment and smallware.
iv. Communicate with the chef on any meal service-related matters that affect property operations.
v. Promote the food service app with occupants to provide feedback about meals.
III. Manage all safety and security aspects of the property.
a. Ensure all life safety items are in an operational, functional order and report for maintenance when tampered or damaged.
i. Coordinate with RPG on the posting of Fire Evacuation Route and Shelter in Place signs throughout the facility.
ii. Immediately report exit signs and emergency lighting fixtures that are not in proper working order.
b. Distribute, document and collect all keys and access codes provided to occupants. Ensure the key box is maintained and access is limited to those approved by RPG.
c. Ensure the facility is secured, locked, and properly heated or cooled during times of non-occupancy.
d. Respond to urgent life safety issues such as fire alarms.
e. Interact with the security camera and door lock management system as needed for issues.
IV. Maintain regular communication with RPG Staff and operational stakeholders about the property through phone calls, text messages, phone apps, email, virtual meetings, in person, and in associated software.
a. Meet at least bi-weekly with RPG staff to discuss the property.
b. Meet at least bi-weekly with the occupant house manager to discuss property matters such as (but not limited to) occupant chores, upcoming events occurring on or in the property, safety and security matters.
c. Utilize the provided House Director email account for all House Director correspondence.
d. Inform RPG of any activity contrary to the guidelines of occupancy as set forth by RPG in the lease contract.
e. Serve as the on-site point of contact for all vendors for access to the space and verification of work completed.
f. Inform RPG immediately of any emergencies or urgently needed repairs.
g. Report to RPG if any individuals reside on the premises without an executed lease contract.
h. Notify RPG of any intentional or accidental destruction to the facility.
i. Be familiar with the current lease contracts in place between RPG and occupants including House Rules and Damages & Fee Schedule.
j. Report any occupant personnel issues that are not related to or impacted by the facility to fraternity chapter leaders to be handled through their channels.
V. Execute RPG’s Move-in/Move-out Policy.
a. Coordinate and oversee check-in and check-out of all occupants.
b. Encourage occupants to complete room condition assessments upon move-in.
c. Coordinate and oversee facility opening and closing at the beginning and end of each term.
d. With RPG staff, coordinate any necessary cleaning should a member vacate without having complied with the occupancy policy, and assign charges per policy.
e. Document in written and photographic form any deficiencies in room or facility conditions during move-in and move-out.
f. Communicate RPG’s move-out protocol to all occupants. All units are to be returned to their original condition at the time of check-out, and no personal items are allowed to be left without authorization from RPG.
g. Schedule and present a house meeting at least 3 times a year (opening, winter break and closing).
h. Inventory and audit RPG owned furniture and fixtures for condition.
VI. Work with RPG staff to execute RPG’s lease signing process as needed.
a. Following up with potential occupants to ensure leases are signed in a timely manner.
b. Distribute in person formal communication about tenant occupancy matters as directed by RPG.
c. Report occupancy levels to RPG during each term (Fall, Spring, Summer).
VII. Other duties as assigned.
The Director is not permitted to engage in management, oversight, advisement, or counsel of the resident fraternity chapter in any way. The Director should not attend organizational events such as chapter meetings, socials, tailgates, etc. or fraternize with the occupants in any manner.
Preference to a candidate who would live in the facility.
WORKING HOURS
The enumerated responsibilities will require an average of ten hours of Director’s time per week, including specific work hours, or on-call hours, and any other hours spent carrying out his/her duties and responsibilities.
Open to a candidate who may have full time employment in conjunction with this role.
COMPENSATION
Director will be compensated with a $500 / month stipend and free room, utilities, internet within the facility, and a reserved parking spot. Meal service is not available at this facility. Flexibility with time away from property. The House Director's suite is a 1 bedroom with living room space with a private bathroom.
