About the role
The Aviation Materials & Procurement Specialist is responsible for purchasing aircraft parts, materials, repairs, and services while supporting the management of rotables, cores, and other repairable assets.
This position is primarily focused on procurement but also supports inventory, receiving, shipping, warehouse, and other Materials Department functions as needed.
The position reports to the Materials Lead and works closely with the Senior Aviation Procurement Specialist, Senior Aircraft Work Order Planner, Maintenance, Quality, and Engineering.
What You Will Be Doing
Purchasing
-
Source and purchase aircraft parts, materials, consumables, tooling, repairs, and outside services.

Prepare RFQs, review quotations, and create purchase orders.

Expedite orders and provide delivery-status updates.

Evaluate pricing, lead times, certifications, and supplier capabilities.

Support AOG and other urgent aircraft requirements.

Purchase stock replenishment, consumables, HAZMAT, shop supplies, and calibration services.

Identify alternate sources and cost-saving opportunities.

Maintain accurate purchasing records and follow up on open purchase orders.
Rotables, Cores, and Repairs
-
Coordinate repair, overhaul, exchange, inspection, testing, and NDI services.

Track repair orders from shipment through return to stock.

Monitor vendor findings, quotations, approvals, turnaround time, and delivery dates.

Manage core returns to protect core credits and avoid late charges.

Maintain accurate rotable and core status, location, and condition records.

Coordinate warranty claims, rejected repairs, and supplier discrepancies.

Ensure repaired components are properly received and returned to serviceable inventory.
Materials Support

Process purchasing, repair, and inventory transactions in Quantum MX.

Support inventory replenishment, cycle counts, and physical inventories.

Research inventory discrepancies, alternate part numbers, and material-location issues.

Assist with work-order kitting, issuing, returns, and transfers.

Support receiving, shipping, warehouse, and counter activities when needed.
Compliance
-
Review FAA Form 8130-3, Certificates of Conformance, and traceability records.

Ensure purchased and repaired material meets company and FAA Part 145 requirements.

Confirm suppliers are approved and purchase-order requirements are properly communicated.

Maintain accurate procurement, repair, core, shipping, and certification records.

Support internal, customer, and regulatory audits.

Escalate incomplete documentation, questionable traceability, or nonconforming material.
You Must Have
-
Two or more years of aviation purchasing, procurement, materials, inventory, or supply-chain experience.

Experience purchasing aircraft parts, repairs, materials, or technical services.
-
Knowledge of RFQs, purchase orders, supplier follow-up, and expediting.

Strong organizational, communication, and problem-solving skills.
-
Experience using an Quantum MX or inventory-management system.

Proficiency with Microsoft Office.
Nice to Haves
-
FAA Part 145 or Part 135 experience.

Experience with rotables, cores, exchanges, repairs, and overhauls.

Knowledge of aircraft traceability and certification requirements.
-
Experience with Quantum MX.
-
Experience supporting AOG requirements.
Work Environment
This position is primarily office-based with regular coordination in hangar, production, materials, and aircraft environments. Some after-hours support may be required based on aircraft schedules, AOG needs, or redelivery priorities.
The Aviation Materials & Procurement Specialist is expected to demonstrate urgency, accuracy, accountability, organization, and teamwork.
Although purchasing is the primary responsibility, the employee must support inventory, receiving, shipping, warehouse, work-order, and other Materials Department activities as operational needs require.
