Overview
We are seeking a dedicated and detail-oriented Dental Treatment Coordinator/Front Office professional to join our dynamic dental team. The ideal candidate will possess strong administrative skills, ability to multi-task, a passion for patient care, and experience in managing front desk and back office operations within a dental or medical environment. This role is vital in ensuring smooth clinic operations, delivering exceptional patient service, and coordinating treatment plans effectively. Responsibilities
- Greet patients warmly and professionally, providing outstanding customer service while managing multi-line phone systems and scheduling appointments efficiently.
- Verify insurance coverage, perform insurance eligibility checks, and handle insurance claims processing using systems such as Epic, Meditech, Dentrix, Eaglesoft, or Athenahealth.
- Assist patients with intake procedures, explaining treatment options, and reviewing documentation to ensure accuracy and completeness.
- Assist and clean in the back office as necessary
- Manage medical and dental records with meticulous attention to HIPAA compliance and health information management standards.
- Coordinate treatment plans by collaborating with dental providers and ensuring patients understand their care options and financial responsibilities.
- Perform insurance verification, billing, coding and follow-up on outstanding payments to optimize collections.
- Maintain accurate documentation review and ensure all patient information is up-to-date within Electronic Health Record (EHR) systems such as eClinicalWorks or Meditech.
- Support clinic operations through clerical tasks including filing, data entry (10 key typing), and managing office supplies to promote an organized environment.
- Demonstrate proficiency with computer skills including Microsoft Office Suite to generate reports, correspondence, and administrative documentation.
- Uphold compliance with HIPAA regulations while handling sensitive medical information with confidentiality and professionalism.
Qualifications
- Proven experience working in a dental or medical front office environment with familiarity in dental terminology and medical billing practices.
- Strong knowledge of EMR/EHR systems such as Dentrix, Eaglesoft, Epic, Meditech, or Athenahealth; experience with Medisoft or similar platforms is advantageous.
- Proficiency in dental coding along with understanding of Medi-Cal and HMO billing procedures.
- Excellent communication skills with the ability to provide clear instructions and maintain professional phone etiquette in a bilingual setting preferred.
- Demonstrated ability to manage insurance verification processes accurately while providing exceptional patient service.
- Strong organizational skills with experience in clinic management, appointment scheduling, and handling multiple priorities efficiently.
- Familiarity with health information management standards such as HIPAA compliance is essential.
- Previous dental office experience or clinic experience is highly desirable; candidates should possess at least basic knowledge of dental terminology and office management practices.
