Overview
Izquierdo Law LLC is hiring an Administrative Coordinator to keep our office running smoothly and ensure clients always receive timely, professional attention. Working closely with Attorney Ana Izquierdo Henn and the team, you will be the first point of contact at the front desk, the owner of the attorney's calendar, and the person who makes sure details don't slip. This is a great opportunity for an organized, bilingual professional to build office-management experience in a busy law firm.
Schedule is full-time and in person, with flexibility to work either 8:00–5:00 or 9:00–6:00.
What you'll do
- Manage front desk operations: greet visitors, answer and direct phone/video calls, and provide friendly, professional service
- Own the attorney's calendar: schedule, confirm, reschedule, and coordinate meetings across time zones and platforms
- Request availability and confirm commitments with clients and external contacts via phone or email
- Prepare a brief summary of the next day's meetings and attendees so the attorney can prepare
- Monitor and organize the attorney's inbox, flag items that need her attention, and draft routine replies
- Prepare meeting agendas, take detailed notes, and track action items and follow-ups
- Send documents via DocuSign and track signature status
- Update client records, handle filing, and organize documentation as needed
- Track projects, deliverables, and deadlines using electronic project management tools
- Help track upcoming deadlines and renewals for government incentive programs
- Perform data entry, proofreading, and clerical duties, including correspondence and office supply management
- Provide general administrative support and assist with special projects as needed
What we're looking for
- 0 to 3 years of experience in an administrative, coordination, or support role
- Bilingual in English and Spanish, both written and verbal
- Strong command of Microsoft Office 365, especially Outlook, Word, and Excel
- Strong attention to detail, follow-through, and time management
- Professional communication and a high standard of confidentiality
- Willingness to learn new technological tools and take on training
- Comfortable working both independently and under supervision
Nice to have, but not required: prior experience as a legal assistant or in office management.
