The Town of Greenburgh is seeking a highly organized, detail-oriented, and customer-focused Benefits Assistant to support the administration of employee benefits programs for our municipal workforce. This important position assists employees, retirees, and dependents with benefit-related services while ensuring accurate recordkeeping, regulatory compliance, and effective coordination with insurance carriers and third-party administrators.

Position Summary
The Benefits Assistant supports the daily administration of municipal employee benefit programs, including:
- Medical insurance
- Dental insurance
- Retirement benefits
- Workers' compensation programs
This position serves as a key resource for employees, retirees, and their dependents by responding to benefit inquiries, processing enrollment transactions, maintaining benefit records, and ensuring compliance with applicable federal, state, and local regulations.
Essential Duties and Responsibilities
- Assist employees, retirees, and dependents with benefit-related questions and concerns.
- Process benefit enrollments, changes, terminations, and eligibility updates.
- Maintain accurate and confidential employee benefit records and files.
- Upload enrollment and status change information to insurance carrier and vendor portals.
- Serve as liaison with insurance carriers, brokers, third-party administrators, and other benefit providers.
- Review and reconcile vendor billing statements against enrollment records to ensure accuracy.
- Process monthly and quarterly benefit invoices and coordinate benefit-related payments.
- Track employee benefit waivers and buyout payments.
- Calculate employee benefit costs, reimbursements, and Medicare reimbursements.
- Record and maintain accident, injury, and workers' compensation reports.
- Prepare statistical reports, spreadsheets, and benefit-related analyses.
- Assist with employee benefit presentations, open enrollment activities, and informational meetings.
- Monitor eligibility requirements and benefit participation.
- Stay current on federal and state laws and regulations affecting employee benefits.
- Ensure compliance with applicable policies, procedures, and regulatory requirements.
Minimum Qualifications
Candidates must possess:
- A minimum of three (3) years of professional work experience, including:
- At least one (1) year of experience in employee benefits administration, benefits enrollment, claims processing, or related benefits functions
· SUBSTITUTION: Satisfactory completion of 30 credits at a recognized college or
university may be substituted on a year for year basis for up to two (2) years of the
general work experience described above. There is no substitution for the one (1) year of specialized experience.
- Strong customer service and interpersonal communication skills.
- Excellent attention to detail and accuracy in recordkeeping.
- Proficiency using Microsoft Excel, databases, HRIS systems, and other computer applications.
- Ability to interpret benefit plans, policies, procedures, and regulations.
- Ability to maintain confidentiality while handling sensitive employee information.
Required Experience
To be considered, candidates must demonstrate experience in:
- Working directly with benefit providers, insurance carriers, and third-party administrators.
- Uploading employee enrollment and benefit change information to vendor benefit portals.
- Processing monthly or quarterly vendor invoices and coordinating benefit-related payments.
- Communicating benefit status changes, enrollment options, and coverage updates to employees.
- Tracking employee waiver and buyout payments.
- Calculating benefit costs, reimbursements, or related financial transactions.
Preferred Qualifications
Preference may be given to candidates with:
- Experience working in local, county, or state government.
- Knowledge of municipal employee benefit programs.
- Familiarity with civil service processes and procedures.
- Understanding of public-sector compliance and regulatory requirements.
