The law firm of Marshall Dennehey seeks a full time Project Assistant with 0-3 years of experience for its Philadelphia, PA office.
Position Summary:
The Project Assistant provides administrative and project support to both the Marketing Department and the Paralegal Services Department. This is an entry-level role ideal for someone who is highly organized, detail-oriented, and interested in gaining experience in a professional law firm environment. The role offers exposure to marketing initiatives, paralegal operations and administrative functions within a law firm.
RESPONSIBILITIES:
- Administrative & Financial Support

Process and track invoices, expenses, and reimbursements for marketing and paralegal-related activities

Maintain accurate financial records and ensure timely submission and approvals

Coordinate with Finance Department and vendors regarding billing inquiries
Recruitment & Scheduling
- Schedule and coordinate interviews for paralegal candidates and other support roles

Manage calendars, confirm availability, and communicate logistics with candidates and internal stakeholders

Assist with interview materials and candidate correspondence
Marketing & Branding Support
- Order and manage inventory of firm-branded promotional materials

Coordinate production and delivery timelines with approved vendors

Ensure adherence to firm branding guidelines in all materials
Event & Project Coordination
- Assist in planning and coordinating client-facing marketing events, as well as internal meetings and functions

Help to organize and prepare event materials, including signage, collateral, and promotional items

Track deadlines and ensure all logistics are executed efficiently

Cross-Departmental Support

Provide general administrative support, including document preparation, tracking projects, and maintaining records

Assist with special projects and day-to-day operational tasks

EDUCATION AND EXPERIENCE:
- Bachelor's degree or equivalent experience preferred. Associate's degree will be considered.

Previous internship, part-time, or administrative experience preferred but not required
PHYSICAL REQUIREMENTS:
- Prolonged periods of sitting at a desk and working on a computer.

In office position that requires onsite attendance as per firm policy for the position.
