Clinical Research Recruitment Specialist

Executive Summary
The Los Angeles Institute for Metabolic Research (LA-IMR) seeks a Clinical Research Recruitment Specialist to drive participant enrollment across our clinical studies in diabetes, obesity, metabolic liver disease, and related conditions. Reporting to the Recruitment Manager, this person owns the front end of the recruitment funnel — turning inbound inquiries and digital leads into scheduled, qualified screening visits.
The role is high-volume and communication-driven, with a strong emphasis on timely lead follow-up (including Meta/social advertising leads), participant pre-screening, appointment scheduling, and retention support. It also includes community outreach and digital/social media engagement to build study awareness across LA-IMR’s diverse Los Angeles communities, consistent with our Equity & Inclusion values. All recruitment activity must comply with IRB, FDA, and Good Clinical Practice (GCP) requirements.
Job Purpose
- Move prospective participants efficiently through the recruitment funnel — from first contact to scheduled screening — through prompt, professional, multi-channel follow-up.
- Support enrollment and retention goals across multiple studies while ensuring every interaction protects participant safety, privacy, and informed choice and complies with IRB/FDA/GCP requirements.
Key Responsibilities
Lead Follow-Up & Recruitment Funnel
- Respond promptly to inbound inquiries and leads from all sources — main and personal voicemail boxes, the [email protected] inbox, social media, Meta ads, sponsor referral portals, and incoming calls.
- Provide at least one documented touchpoint for every referral: an informational email (with study details, self-scheduling link, and phone number), a text via the VOIP line, and a phone call.
- Pre-screen prospective participants against study eligibility criteria and educate them on study requirements, procedures, and expectations.
- Coordinate and schedule screening appointments, and maintain ongoing communication throughout the recruitment process.
Participant Relations & Retention
- Serve as a primary point of contact for prospective and enrolled participants.
- Maintain engagement through timely follow-up, appointment reminders, and educational communications.
- Support retention initiatives designed to improve participant satisfaction and study completion rates.
- Address participant questions while ensuring compliance with study protocols and regulatory requirements.
Community Outreach & Event Engagement
- Represent LA-IMR at health fairs, wellness events, and community-based outreach initiatives.
- Build relationships with healthcare providers, community organizations, and referral partners to increase study awareness.
- Help plan and coordinate participant retention events and educational gatherings.
Social Media & Digital Recruitment
- Create and manage IRB-approved social media and digital content that educates the public about clinical trials and metabolic health (LinkedIn, Facebook, Instagram, TikTok, and the website).
- Support digital recruitment campaigns and online advertising, and monitor engagement metrics to optimize performance.
- Manage online community engagement and respond to participant inquiries professionally and in line with Company social media standards.
Recruitment Operations & Data Management
- Maintain recruitment databases and participant tracking systems, and log all contact attempts and outcomes in sponsor portals (e.g., CTM, Study Team).
- Track outreach metrics, referral sources, screening outcomes, enrollment trends, and retention metrics, and generate reports on effectiveness.
- Collaborate with investigators, coordinators, sponsors, and business development to support recruitment objectives and study feasibility.
- Ensure all recruitment activities comply with IRB, FDA, and GCP requirements.
On-Site & Cross-Functional Support
- Support site operations as needed — covering the front desk, arranging participant transportation (e.g., Ubers), scheduling visits, and completing required trainings.
- Work closely with physicians, study coordinators, regulatory teams, and business development staff, and assist in developing participant education and recruitment materials.
Required / Preferred Qualifications
Required
- Strong interpersonal and communication skills (verbal and written), with comfort making a high volume of outbound calls, texts, and emails.
- Customer-service, sales, call-center, healthcare, or community-outreach experience demonstrating timely, persistent, and professional follow-up.
- Strong organization and attention to detail, with the ability to track and document many leads accurately across systems.
- Comfort with CRM/database tools, sponsor portals, and basic reporting.
- Legal authorization to work in the United States (Form I-9 verification required).
Preferred
- Bilingual (English/Spanish) to support outreach across LA-IMR’s diverse participant communities.
- Prior clinical research, patient recruitment, or healthcare experience, and familiarity with IRB/GCP basics.
- Experience running or supporting social media and paid digital campaigns (including Meta Ads).
- Experience planning community events or outreach programs.
Working Conditions
- Primarily on-site at LA-IMR’s Los Angeles facility, with limited remote eligibility for non-PHI tasks such as lead follow-up and phone screens, subject to written manager approval under the Company’s Telecommuting Policy.
- High-volume communication role involving extended periods of phone, text, and computer-based outreach.
- Some evenings or weekends may be required to support health fairs, community events, or outreach initiatives.
- Standard business hours fall within Monday–Friday, 7:30 AM–4:30 PM; schedules may vary by recruitment needs, with overtime authorized in advance when required.
- Company-provided scrubs and close-toed shoes required when on-site in clinical areas.
Compensation
The current pay range for this position is $30.00 – $34.00 per hour. Actual compensation will be determined based on job-related factors such as experience, qualifications, skills, education, internal equity, and business needs. This position is non-exempt and eligible for overtime in accordance with applicable federal, state, and local wage and hour laws.
