Big Table is a fast-growing Christian non-profit that provides care for the largest industry in the nation - those working in the restaurant and hospitality industry. It is a vibrant industry full of gifted, creative, and generous people. It is also an incredibly tough industry that is the catch basin for the most marginalized in the country: at-risk teens, single parents, minorities, new immigrants, income-insecure seniors, and those formerly incarcerated working to build new lives. Many work inconsistent hours at multiple jobs that push relationships past the breaking point. The stress levels are constantly high and most have no safety net, insurance, or benefits. It is the industry with the highest rates of drug and alcohol abuse in the country.

What We Are Looking For:
Big Table seeks a highly skilled, part-time Executive Assistant to join a fast-paced, high-performance Headquarters Office team in Spokane, WA. The Executive Assistant plays a vital role in helping our Executive team oversee Big Table operations nationally by providing comprehensive and confidential administrative support.

PRIMARY RESPONSIBILITIES
ADMINISTRATION
- Manage complex Headquarters level administrative work requiring the use of independent judgment and initiative
- Plan and ensure schedules are followed and respected by maintaining calendars, making and changing appointments, and providing proactive reminders of calendar events to ensure Exec team is prepared for meetings or upcoming commitments
- Assist with Board meeting and retreat preparations
- Assist Executive Directors with daily tasks while also supporting the HQ team to ensure a smooth-running office
- ·Attend meetings alongside the Exec team or in their place, taking notes to record necessary information
- Coordinate travel arrangements, prepare itineraries, plan logistics, and submit expense reports: plane tickets, room reservations, car rentals, travel expenses, etc.
- Print weekly care encounter reports and care referrals
- Staff Encouragement:
- Send birthday cards to Board members from the HQ team
- Notes and gifts of encouragement
- Office Management: ordering and stocking supplies, watering plants, managing office appearance
- Ensure operation of office equipment, ordering maintenance when necessary, and troubleshooting malfunction of office equipment or technical issues
- Assist cities with admin tasks (mailings, giving partner structure, training, etc.) as needed
COMMUNICATION
- Communicate directly, and on behalf of the Exec team, with Board members, team members, and giving partners on a wide variety of matters
- Write and prepare correspondence, including emails, pulling reports, arranging agendas, and compiling materials for internal and external meetings
- Monitor Big Table information email
- Edit and proof communication pieces as needed
- Manage HQ Communication Calendar – lend city support as they manage their calendars
EVENTS
- Assist with city fundraising and awareness events as needed
EXPANSION
- Assist the Executive Directors with planning expansion/discernment trips, which includes building a schedule, researching the demographics, arranging travel, and traveling with them to assist
CHARACTER, SKILLS, AND EXPERIENCE OF AN IDEAL CANDIDATE
- 2-5 years of experience in administrative support functions
- Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail
- Highly proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and web-based platforms
- Very strong interpersonal skills and the ability to build relationships with key stakeholders
- Able to work effectively under pressure
- Willingness and desire to step into responsibilities and tasks that fall “outside” of the job description
- A commitment to servant leadership
- Exhibit sound and accurate judgement and make timely decisions
- A desire to joyfully support Executive leadership
- Respect for and careful adherence to expectations of confidentiality
- System integration and ability to troubleshoot IT challenges
