POSITION
The Equipment Inspection Coordinator is responsible for managing the scheduling, tracking, documentation, and closeout of inspection activities to ensure compliance with company policies, safety standards, and applicable industry regulations. This role serves as the central point of coordination between inspectors, customers, vendors, and internal teams, ensuring inspections are completed accurately, on time, and properly documented to support compliance, billing, and asset readiness.
ESSENTIAL DUTIES
Inspection Scheduling & Coordination
- Schedule and coordinate inspections with customers, internal teams, and third‑party inspection providers.
- Maintain inspection calendars and ensure inspections are completed within required timeframes.
- Track inspection status and follow up on outstanding or overdue inspections to ensure timely completion.
Documentation & Reporting
- Collect, review, and validate inspection reports, photos, and supporting documentation for accuracy and completeness.
- Maintain organized, audit ready inspection records in accordance with company policies.
- Ensure inspection documentation supports operational decisions, billing requirements, and asset status updates.
Quality & Compliance Oversight
- Verify inspections to meet applicable safety standards, quality requirements, and regulatory guidelines.
- Identify, document, and escalate nonconformance issues.
- Coordinate corrective actions with operations, service, and other internal stakeholders.
- Support compliance and internal controls by ensuring inspection data is accurate, traceable, and retained per policy.
Communication & Cross Functional Support
- Act as the primary liaison between inspectors, operations, service, and sales teams.
- Communicate inspection results, deficiencies, and next steps clearly and professionally.
- Proactively escalate risks that may impact equipment availability, customer commitments, or compliance.
Process & Logistics Management
- Assign inspections to appropriate internal or third-party resources.
- Track inspection progress from request through closeout.
- Assist with continuous improvement of inspection workflows, documentation standards, and reporting accuracy.

- This position has no supervisory responsibilities.

DEMANDS AND WORK ENVIRONMENT
- This position demands occupation in an office environment that regularly uses standard office equipment requiring the ability to communicate in person and over the telephone with other employees, the ability to interpret printed materials and a computer screen, the stamina to maintain attention to detail despite interruptions, prolonged periods of sitting at a desk and working on a computer, the ability to lift and carry supplies and files weighing up to 15 pounds and to move about the inside of the office to access supplies, office machinery, etc.
- Employee might be exposed to various chemicals, vapors, pollutants, virus or other air-borne pathogens, gases, uneven surfaces, loud noises, moving vehicles or machines and dust/debris.
EXPECTED POSITION HOURS
- This is a full-time position. Occasional overtime may be required as job duties demand with prior approval.
MINIMUM REQUIREMENTS
Education and Work Experience
- A high school diploma or GED is required.
- Minimum two (2) years of experience with heavy equipment operations.
- Experience in inspection coordination, quality control, construction, manufacturing, equipment rental or a related field.
Required Skills and Abilities
- Strong organizational skills with the ability to manage multiple inspections simultaneously in a fast-paced environment.
- Conscientious, diligent, and detail-oriented with ability to stay organized.
- Excellent verbal and written communication skills.
- Proficiency with scheduling tools, documentation systems, and operational software.
- Ability to collaborate effectively with cross-functional teams and external partners to ensure inspections are completed accurately and on time.
Preferred Qualifications
- Experience coordinating third-party inspection vendors.
- Ability to identify mechanical issues, wear, and tear and basic mechanical needs on construction equipment.
- Familiarity with inspection documentation tied to billing, asset readiness, or compliance tracking.
- Knowledge of applicable safety standards, inspection protocols, or regulatory requirements.
Certifications, Licenses, and other Requirements
- Ability to pass pre-employment drug screen and background check.
