We are seeking a dynamic and highly organized Clinical Office Supervisor to lead the administrative operations within a busy healthcare setting for our Home Visiting Physician's office. This pivotal role combines medical office management with leadership responsibilities, ensuring smooth clinic functions, efficient patient flow, and compliance with healthcare regulations. Duties
- Manage daily clinic operations, including scheduling appointments, coordinating patient flow, and ensuring timely documentation of medical records using EMR (Electronic Medical Record) and EHR (Electronic Health Record) systems such as Practice Fusion.
- Supervise administrative staff and medical support personnel, providing training, performance evaluations, and fostering a collaborative team environment.
- Work closely and submit reports directly to Upper Management team regarding: fiscal management activities such as conducting payroll, billing processes, insurance claims processing, managed care coordination, and financial management to ensure the clinic’s financial health.
- Ensure compliance with HIPAA regulations and other healthcare privacy standards while handling sensitive medical records and patient information.
- Facilitate communication between healthcare providers, patients, insurance companies, and external agencies to optimize care delivery and administrative efficiency.
- Monitor office supplies inventory and equipment maintenance to support uninterrupted clinical operations.
- Implement practice management strategies that enhance workflow efficiency while maintaining high standards of patient safety and satisfaction.
- Support medical management activities by assisting with clinical documentation accuracy, coding procedures for billing purposes, and managing medical administrative support tasks.
Skills
- Proven experience in medical office management or healthcare administration within clinics or hospital environments.
- Strong supervisory skills with the ability to lead multidisciplinary teams effectively.
- Extensive knowledge of EMR/EHR systems such as Practice Fusion or similar platforms.
- Expertise in fiscal management including budgeting, financial reporting, billing procedures, and managed care coordination.
- Familiarity with HIPAA regulations and best practices for safeguarding patient confidentiality.
- Proficiency in medical terminology and understanding of medical records management in a home health care setting
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Effective communication skills for liaising with patients, staff members, external providers, and insurance companies.
- Knowledge of healthcare standards such as Medicare & Medicaid (CMS) requirements and utilization management protocols.
- Ability to adapt quickly to new technologies; experience with hospital or acute care settings is advantageous.
