Job Title: Order Management Specialist (Customer Support)
Pay Rate: $26/hr to $29/hr (Payrate will get increase for a right candidate)
Duration: 12 months
Location: REMOTE (Candidates must reside within one hour of Raleigh/Durham/Cary, NC)

- Sunday - Thursday 1:00 pm-10:00 pm
- Tuesday – Saturday 8:00 am-5:00 pm
- Tuesday – Saturday 1:00 pm-10:00 pm
- Sunday - Thursday 1:00 pm-10:00 pm
- M-F 9:30 am-6:30 pm.
- M-F 10:00 am-7:00 pm
- M-F 10:30 am-7:30 pm
- M-F 1:00 pm - 10:00 pm
We are seeking a highly organized and customer-focused Order Management Specialist to join our Healthcare Diagnostics team. In this fully remote role, you will support field service engineers across the United States by processing and managing urgent spare parts orders for medical imaging equipment, including CT, X-ray, and ultrasound systems.
As part of the Order Administration team, you will coordinate with internal departments, warehouse partners, and shipping carriers to ensure critical parts are delivered accurately and on time. - Process and manage urgent spare parts, tools, and service orders using SAP and internal systems.
- Respond to phone calls and emails from field service engineers and internal customers regarding order requests and shipment status.
- Monitor shipments and proactively investigate delays, backorders, delivery exceptions, and fulfillment issues.
- Coordinate with warehouse providers and shipping carriers such as FedEx, DHL, and XPO to ensure timely order fulfillment.
- Perform inventory reconciliation and basic order-related accounting activities.
- Research, troubleshoot, and resolve order discrepancies while escalating complex issues when necessary.
- Navigate multiple software applications simultaneously while maintaining a high level of accuracy.
- Participate in an on-call rotation approximately once every eight weeks.
Qualifications
- High School Diploma or GED required.
- Associate's or Bachelor's degree in Business, Supply Chain, Logistics, Healthcare Administration, or a related field is preferred.
- Experience in customer service, order management, logistics, operations support, supply chain, or administrative support preferred.
- Experience working in a fast-paced, deadline-driven environment.
- Experience supporting customers via phone and email.
- Strong customer service and communication skills.
- Excellent organizational and time management abilities.
- Strong multitasking skills with the ability to manage multiple priorities simultaneously.
- Comfortable navigating multiple computer applications and systems.
- Proficient with Microsoft Office (Outlook, Excel, Word).
- Strong analytical and problem-solving skills.
- Ability to remain calm and professional while handling urgent or time-sensitive requests.
- Detail-oriented with a high level of accuracy.
- Quick learner with the ability to adapt to new systems and processes.
Nice-to-Have Qualifications
- Experience using SAP or another ERP system.
- Order processing or order administration experience.
- Logistics, supply chain, inventory, or warehouse coordination experience.
- Experience working with FedEx, DHL, UPS, XPO, or similar shipping carriers.
- Healthcare, medical device, manufacturing, or service operations experience.
- Experience supporting field service or technical service organizations.
Training & Schedule
- Four to five weeks of structured remote training.
- Fixed nine-hour shifts (including lunch); no rotating schedules.
- Must be flexible to support additional shifts during business needs.
- Participation in an on-call rotation approximately every eight weeks.
Pay: $26.00 - $29.00 per hour
