Overview
We are seeking a dynamic and detail-oriented Front Office Assistant to join our healthcare team. Duties
- Greet patients and visitors warmly, providing excellent customer service and guiding them through check-in and check-out procedures
- Manage phone system with professionalism, answering inquiries promptly and routing calls accurately
- Verify insurance coverage, perform insurance eligibility checks, and assist with insurance verification processes
- Schedule patient appointments efficiently using electronic scheduling systems such as iClinic
- Maintain accurate medical records by organizing files, updating documentation, and ensuring compliance with HIPAA regulations
- Review medical documentation for completeness and accuracy, including CPT coding, ICD-9/10 coding, and care plan documentation
- Support administrative tasks such as filing, data entry, billing support, and managing patient intake forms
- Assist with medical billing processes by reviewing documentation for proper coding and facilitating claims submission
- Handle patient inquiries regarding billing, appointments, or medical records with professionalism and clarity
- Ensure office supplies are stocked and the front desk area remains clean, organized, and welcoming
Skills
- Proven experience in medical office administration or front desk support within a healthcare setting
- Strong knowledge of EMR (Electronic Medical Record) systems such as Epic, Meditech, eClinicalWorks, or Athenahealth
- Familiarity with medical terminology, CPT coding, ICD-9/10 coding, Medicare guidelines, and HIPAA compliance
- Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel) and office management software like Eaglesoft or Dentrix
- Exceptional phone etiquette with the ability to handle multi-line phone systems efficiently
- Bilingual abilities are highly valued to serve diverse patient populations effectively
- Experience with dental terminology or clinic experience is a plus for dental office environments
- Strong organizational skills with attention to detail in documentation review and filing processes
- Ability to prioritize tasks in a fast-paced environment while maintaining a positive attitude
- Knowledge of health information management practices related to medical records and billing processes
