Position Summary
Haven of Cottonwood is seeking an experienced, organized, and compassionate Business Office Manager to oversee the daily business office operations of our skilled nursing facility. Under the direction and leadership of the Executive Director, the Business Office Manager is responsible for ensuring accurate financial processes, resident account management, admissions financial coordination, accounts receivable, and exceptional customer service for residents and families.
The ideal candidate will possess strong organizational skills, healthcare business office experience, attention to detail, and a commitment to providing outstanding service while supporting the facility's mission of delivering exceptional resident care.
Roles and Responsibilities
- Manage the daily operations of the Business Office.
- Maintain resident trust accounts and ensure compliance with state and federal regulations.
- Coordinate resident financial admissions, including insurance verification and payment arrangements.
- Manage private pay billing, accounts receivable, collections, and resident statements.
- Monitor Medicaid, Medicare, Managed Care, and private insurance billing processes.
- Work closely with the Executive Director regarding facility financial performance and reporting.
- Maintain petty cash and business office financial records.
- Assist residents and responsible parties with billing questions and financial concerns.
- Ensure accurate recordkeeping and timely completion of required reports.
- Maintain confidentiality of resident, employee, and financial information in accordance with HIPAA regulations.
- Assist with month-end closing activities and financial audits.
- Support admissions by reviewing financial documentation and explaining payment responsibilities.
- Collaborate with department managers to ensure efficient facility operations.
- Ensure compliance with company policies and applicable state and federal regulations.
- Provide excellent customer service to residents, families, staff, and outside agencies.
- Perform other duties as assigned by the Executive Director.
Qualifications
- High school diploma or GED required; Associate's or Bachelor's degree in Business Administration, Accounting, Healthcare Administration, or related field preferred.
- Minimum of two (2) years of business office experience in a skilled nursing facility, long-term care, or healthcare setting preferred.
- Experience with resident billing, Medicare, Medicaid, Managed Care, and private insurance preferred.
- Knowledge of accounts receivable, payroll processing, and general accounting principles.
- Strong computer skills including Microsoft Office (Excel, Word, Outlook) and electronic health record/billing systems.
- Excellent organizational, time management, and communication skills.
- Ability to maintain strict confidentiality.
- Ability to prioritize multiple tasks in a fast-paced healthcare environment.
- Strong problem-solving and customer service skills.
- Ability to work independently while collaborating effectively with department leaders.
Preferred Skills
- Long-term care business office experience.
- Medicare and Medicaid billing knowledge.
- Customer service and conflict resolution skills.
- Financial reconciliation and reporting experience.
- Ability to meet deadlines while maintaining accuracy.
Requirements
- Must be able to speak, read, write, and understand English.
- Fingerprint Clearance Card (or ability to obtain).
- Successful completion of: Background Screening, Reference Check, and Drug Testing.
- Tuberculosis Testing and Employee Health Screening (conducted after hire).
- Ability to commute.
