Job Summary
We are seeking a positive, organized, and detail-oriented Administrative Assistant specializing in Employee Onboarding and Orientation as well as acting as an assistant at times for the CEO and Guardian Social Worker. join our dynamic team. In this vital role, you will be the first point of contact for new hires, guiding them through the onboarding process and ensuring a smooth integration into our organization. Your proactive approach and excellent organizational skills will help foster a welcoming environment while supporting daily administrative operations. Duties
- Coordinate and facilitate new employee onboarding sessions, including orientation schedules, paperwork, and initial training.
- Handle multi-line phone systems with excellent phone etiquette, screening calls, taking messages, and directing inquiries efficiently.
- Maintain accurate records through data entry, filing, and updating employee files using Microsoft Office, Google Workspace, and other office management tools.
- Assist with office tasks such as supply ordering, calendar management, and organizing meetings or events.
- Provide exceptional customer support to internal teams and external visitors by delivering timely assistance and clear communication.
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Prior clerical or administrative experience with familiarity in office management practices.
- Bilingual abilities are a plus to support diverse team members and visitors.
- Knowledge of front desk operations, multi-line phone systems, and phone etiquette.
- Experience with bookkeeping software like QuickBooks is preferred for managing basic financial records.
- Strong typing skills along with proofreading capabilities to ensure accuracy in all communications.
- Exceptional time management skills to prioritize tasks effectively while maintaining attention to detail.
- Personal assistant or office support experience that demonstrates reliability and professionalism.
