Position Summary

The Payroll Specialist is responsible for managing the company’s payroll, ensuring employees are paid accurately and on time, and complying with labor laws and tax regulations. Duties and responsibilities include processing payroll, maintaining time keeping records, reviewing payroll and payroll reports for accuracy, and maintaining accurate set up and tax filings federally as well as in multiple states and jurisdictions.

Essential Functions and Responsibilities

Review the Payroll system to ensure compliance with all applicable state and federal laws, while also ensuring that the system is meeting desired internal business needs.
Partner with Accounting, HR, and the field to identify opportunities for process improvement.
Process biweekly, multi-state payroll for salary and hourly, full-time and part-time employees.
Complete timely processing of payroll funding and reporting.
Review new hires and payroll-related change process for efficiency and overall improvements.
Process terminations promptly in accordance with state and federal law.
Assist with all internal and external payroll audits as well as create ad hoc reports as needed.
Review garnishments, support orders, and other required withholdings.
Assist with new tax jurisdiction registrations, maintain ongoing compliance requirements, and update state unemployment rates.
Review time and attendance system for opportunity to gain efficiency and improve overall payroll process.
Assist management in improving processes and procedures to ensure efficient and accurate payroll department.

Qualifications and Experience

Minimum Qualifications:

Intermediate MS Office knowledge (especially Excel).
High school diploma and 2+ years experience in multi-state Payroll Processing, including California or equivalent combination of education and experience.
High Attention to Detail.
Payroll experience in organization size of at least 500+ employees.
Demonstrated ability to convey complex information in clear and concise manner.
Understanding of federal, state and local hourly and salaried timekeeping rules/regulations, related to overtime and shift differentials.
Working knowledge of relevant federal and state wage and hour laws.

Preferred Qualifications:

Advanced MS Office knowledge (especially Excel).
Associate’s degree and 4+ years’ experience in multi-state Payroll Processing.
Experience with full scope of Kronos Workforce Ready Payroll Time & Attendance software.

Supervisory Responsibilities

This position has no supervisory responsibilities.
