Job Summary

We are seeking a dynamic and organized Office Assistant to join our team! This vital role ensures the smooth operation of daily office activities, providing exceptional support across administrative, clerical, and customer service functions. The ideal candidate will be energetic, detail-oriented, and possess a strong ability to manage multiple tasks efficiently. Your proactive approach will help foster a productive and welcoming environment for staff, clients, and visitors alike. This paid position offers an exciting opportunity to develop your office management skills while contributing to a vibrant team.

Duties

Answer incoming phone calls promptly and professionally.
Assist customers with parts identification, pricing, availability, and product recommendations.
Communicate with customers regarding parts orders, special orders, backorders, and estimated delivery times.
Process customer orders, invoices, and purchase orders accurately.
Receive, inspect, stock, and organize incoming inventory.
Maintain accurate inventory records and report shortages or discrepancies.
Work with vendors and manufacturers to source parts and verify pricing.
Assist the service department by locating and supplying required parts in a timely manner.
Maintain a clean, organized, and safe parts department.
Operate the point-of-sale and inventory management systems accurately.
Follow up with customers regarding outstanding orders and ensure customer satisfaction.
Assist with shipping, receiving, and packaging of parts orders as needed.
Perform additional duties assigned by management.

Requirements

Qualifications
High school diploma or equivalent.

Physical Requirements

Ability to stand, walk, and move throughout the workday.
Frequently lift and carry up to 50 pounds.
Ability to bend, reach, climb, and work in a warehouse or parts storage environment.

Performance Expectations

Employees are expected to:

Provide courteous, professional, and timely customer service.
Answer telephone calls promptly and communicate effectively with customers, vendors, and coworkers.
Maintain accurate inventory and complete paperwork with attention to detail.
Keep the parts department organized and well-stocked.
Maintain productivity throughout the workday.
Follow company policies regarding attendance, safety, and personal phone use.
Work cooperatively with the sales, service, and administrative teams to support overall business operations.
Previous parts, automotive, trailer, agricultural, or equipment experience preferred.
Strong customer service and communication skills.
Ability to identify parts using catalogs, diagrams, and computer software.
Basic computer skills, including email, inventory, and point-of-sale systems.
Strong organizational skills and attention to detail.
Ability to multitask in a fast-paced environment.
