Maintenance Parts & Inventory Coordinator
Position Summary
The Maintenance Parts & Inventory Coordinator supports the manufacturing maintenance team by maintaining accurate inventory of maintenance, repair, and operating (MRO) parts, tools, and supplies. This role is responsible for receiving, organizing, issuing, sourcing, ordering, and tracking spare parts to ensure maintenance technicians have the materials needed to minimize equipment downtime and maintain production efficiency. The position serves as a key liaison between maintenance, purchasing, and vendors to ensure timely availability of critical replacement parts and consumables.
Essential Duties and Responsibilities

Receive, inspect, and stock incoming maintenance parts and supplies.

Maintain organized storage areas, parts rooms, and inventory locations.

Issue parts, tools, and supplies to maintenance technicians.

Issue PPE to employees.
-
Enter inventory transactions into appropriate computer systems.

Monitor inventory levels and notify management of low-stock items.

Assist with cycle counts and annual physical inventories of maintenance parts.

Label, catalog, and maintain accurate part identification records.

Process vendor packing slips and receiving documentation.
-
Support preventive maintenance programs by ensuring required spare parts availability.

Maintain a clean, safe, and organized storeroom.

Follow all company safety and housekeeping requirements.
Parts Sourcing & Ordering Responsibilities

Source MRO parts, components, and supplies from approved vendors and distributors.

Request quotations and compare pricing, availability, and lead times from suppliers.

Create and submit purchase requisitions and purchase orders in accordance with company procedures.

Track open orders and follow up with vendors to ensure on-time delivery.
-
Expedite critical or emergency parts required to minimize equipment downtime.

Maintain vendor contact information and assist in developing preferred supplier relationships.

Research equivalent or substitute parts when original components are unavailable or obsolete.

Coordinate with maintenance technicians to identify correct replacement parts and specifications.

Review inventory usage trends and recommend stocking levels for critical spare parts.

Assist with warranty claims, returns, and vendor discrepancy resolution.
Qualifications
Required
-
High school diploma or associates degree
-
Strong computer skills (Microsoft Excel, Outlook, and data entry).

Ability to lift up to 50 pounds.

Strong organizational and communication skills.
-
Attention to detail and inventory accuracy.
Hours are Monday through Friday 6am -2:30pm
Preferred
-
2 years of experience in warehouse, inventory, manufacturing, maintenance, parts, or purchasing environments.

Experience with inventory management systems.
-
Basic knowledge of industrial maintenance components such as bearings, motors, gearboxes, pneumatic, hydraulic, and electrical parts.

Forklift certification or willingness to obtain certification.

Experience with purchasing, sourcing, or vendor management activities.
Physical Requirements

Frequent standing and walking.
-
Lifting, carrying, and moving materials up to 50 lbs.

Working in manufacturing and maintenance shop environments.

Use of required personal protective equipment (PPE).
