Our Patient Coordinator is often the first and last person our patients interact with, making this role an important part of both the patient experience and the success of our practice.
We are looking for more than someone who can answer phones and schedule appointments. The right candidate understands how a dental practice operates and is comfortable navigating dental terminology, procedures, insurance benefits, claims, billing, treatment-related financial conversations, and patient balances while providing warm, professional service.

What You'll Do
As a Patient Coordinator, you will help keep the front office organized, the schedule productive, and our patients informed and cared for throughout their experience.
Responsibilities include:
- Welcome patients warmly and professionally while creating an exceptional first impression.
- Answer incoming calls, respond to patient questions, and appropriately route clinical or administrative concerns.
- Schedule and confirm patient appointments while helping maintain an organized and productive schedule.
- Accurately enter and maintain patient demographics, insurance information, appointments, and other information within the dental practice management system.
- Verify dental insurance eligibility, benefits, limitations, frequencies, deductibles, and applicable coverage for planned treatment.
- Understand and assist with coordination of benefits when patients have multiple insurance policies.
- Prepare, submit, track, and follow up on dental insurance claims and supporting documentation.
- Understand common dental procedures, terminology, and CDT codes sufficiently to communicate accurately with patients, providers, insurance companies, and team members.
- Collect patient copayments, deductibles, estimated portions, outstanding balances, and other amounts due.
- Confidently and professionally communicate financial responsibility to patients.
- Post patient and insurance payments accurately and assist with account reconciliation.
- Monitor outstanding patient balances and assist with collection efforts according to practice policies.
- Assist new patients with registration, insurance information, forms, and preparation for their first visit.
- Maintain patient confidentiality and comply with HIPAA and practice policies.
- Communicate effectively with clinical team members to help provide a smooth patient experience from check-in through check-out.
- Contribute wherever needed to support the success of the practice and the team.
What We're Looking For
Dental front office experience is strongly preferred for this position with a minimum of two years. We are specifically seeking candidates who understand the administrative and financial processes unique to dentistry.
An ideal candidate will have experience with:
- Dental terminology and common dental procedures
- Dental procedure codes (CDT)
- Dental insurance verification and benefit interpretation
- Dental insurance claims and claim follow-up
- Coordination of benefits
- Patient billing and account management
- Collecting patient portions and outstanding balances
- Dental practice management software
- Appointment scheduling and confirmation
- Patient communication and customer service

Experience & Qualifications
- Previous dental front office/administrative experience strongly preferred
- Working knowledge of dental terminology, procedures, insurance, billing, and claims preferred
- Strong computer and practice-management software skills
- Excellent telephone and interpersonal communication skills
- Strong attention to detail and organizational ability
- Ability to multitask and maintain accuracy in a fast-paced dental environment
- Ability to protect confidential patient and practice information
- Dependable attendance and punctuality are essential
- Willingness to participate in continuing education and ongoing professional development
Schedule
Candidates should have flexibility to work within practice hours between 7:00 a.m. and 7:00 p.m., Monday through Friday, depending upon location and scheduling needs.
This position may also require approximately one Saturday per month.
