Overview And Responsibilities:

The Event Coordinator provides administrative and operational support to the event and marketing team. This role is integral to the daily function of the department and requires exceptional communication skills, outstanding judgment, and the ability to manage complex and evolving priorities in a fast-paced environment. We are seeking a highly organized and dynamic Event Coordinator to join our team. In this role, you will be responsible for helping execute a variety of events from inception to completion. This will include physically setting up events, serving customers and taking down events. The ideal candidate will have excellent communication and multitasking skills, a keen eye for detail, and the ability to manage multiple projects simultaneously under tight deadlines. They will be hands-on and willing to work hard to ensure a successful event.

Responsibilities include, but not limited to:

Support the marketing and events teams with complex scheduling, calendar management, and day-to-day administrative needs.
Facilitate communication across departments, ensuring timely and accurate information flow.
Track departmental projects, priorities and industry trends.
Manage a small fleet of ice cream trucks, including reservations, package proposals, staffing and event execution.
Exercise discretion when handling sensitive and confidential information.
Help plan and coordinate all aspects of events, including logistics, venue selection, and scheduling.
Communicate with clients to understand their needs and objectives for each event.
Negotiate contracts and coordinate with vendors and suppliers to ensure timely delivery of services.
Develop detailed event timelines and ensure all team members and vendors adhere to schedules.
Scoop and serve ice cream at events as needed.
Physically set-up tents, furniture, signage, etc. to ensure engaging and appealing events.
Attendance at events across Southern California
Oversee the execution of events across multiple states.

Basic Qualifications

Bachelor's degree or equivalent combination of education and relevant work experience, preferred.
1–2 years of administrative or coordinator experience
2-3 years' experience in event coordination, hospitality, VIP services, or premium brand activations
Strong vendor management skills with experience coordinating hospitality services and event logistics
Excellent organizational and project management skills; ability to manage multiple concurrent projects
Calm under pressure with ability to handle last-minute changes and unexpected challenges
Willingness to work flexible hours including evenings and weekends during event periods
Proficiency in Microsoft Office Suite and standard business tools
Willingness and ability to travel throughout Southern California on a regular basis.
Willingness and ability to travel out of state 1-2 times per year.

Pay: $70,000.00 - $90,000.00 per year
