POSITION DESCRIPTION
Data Analyst
ORGANIZATIONAL RELATIONSHIPS
The Data Analyst works in close collaboration with the district core team, technology department staff, and school leaders to optimize digital learning resources, ensure FERPA-compliant data environments, and support student account life cycles.
The Data Analyst is responsible for accurately collecting, organizing, analyzing, and reporting student and school data. Assists with research and development of database products and services, data analytics, business intelligence, data warehouse, internal & external reporting. As required, performs special data projects and reports for District staff. Develops customized views from databases and collects data to support decision-making at the strategic, tactical, and operational levels.
- Work Location: Primarily at the District Office, with travel required to all buildings across the School District of Waupaca.
PRIMARY FUNCTIONS
- DPI State Compliance Reporting: Manage and submit student data through the district’s student information system to the Department of Public Instruction via WISEdata and WISEdash. Ensure error-free transmission of data, including, but not limited to: attendance, behavior, career and technical education, completion status, course, demographic, economic, enrollment, special education, and special programs.
- District Procedures & Data Integrity: Create and communicate district procedures and processes to guide student data entry, usability, and analysis. Support initiatives for data integrity, normalization, and data cleansing.
- Core Systems Management: Manage the district’s major technical platforms, including the Student Information System (Infinite Campus), Application Launchpad (ClassLink), and data warehouses.
- Optimization & Project Support: Lead, assist, and support special project requests to improve the optimization of district technology.
- Identity Management & Rostering: Perform initial implementation and provide ongoing support of third-party technology resources, most frequently featuring automated provisioning and single sign-on (ClassLink SSO and OneRoster). Work in conjunction with technology staff to manage automated student accounts, email provisioning, and directory permissions.
- Leadership Collaboration: Work closely with district and school leadership to support strategic decisions, educational initiatives, and administrative planning rooted in comprehensive data analysis.

- Data Integration & Extraction: Acquire, extract, and blend data from multiple sources (including but not limited to Infinite Campus, Benchmark, AimsWeb, and eduCLIMBER) to identify, analyze, and interpret trends and patterns in complex datasets.
- Validation & Troubleshooting: Verify and validate data. Delve into data systems to identify discrepancies or sync errors, and take the necessary steps to improve data quality. Troubleshoot reporting database environments and ad hoc scripts.
- Systems Evaluation: Assess, test, and implement new or upgraded software (such as managing software updates, rolling forward annual school calendars, term structures, and grading setups). Assist with strategic decisions on new systems.
- Reporting Environment Design: Manage and design the reporting environment, including data sources, security, custom report writing, and metadata to highlight performance across all functional areas of the district.
- Instructional Staff Support: Support staff in improving student learning and achievement by effectively interpreting and applying local, state, and national assessment data.
- Professional Development & Training: Design, coordinate, and deliver staff development workshops, documentation, and video tutorials for teachers, administrators, and students regarding data interpretation, dashboard navigation, and newly deployed software platforms
- eduCLIMBER Coordination: Manage data uploads and synchronization with eduCLIMBER, and actively coordinate with vendor representatives to bring in targeted training for district staff.
PERFORMANCE RESPONSIBILITIES
- Analyze and prepare profiles from local, state, and national assessment data as it relates to individual student performance and continuous school improvement.
- Develop and maintain historical student and school data files to monitor and track performance trends over time.
- Interpret and review assessment data with administrators and teachers, translating data patterns into actionable instructional steps.
- Work with school staff in both one-on-one and group settings to conduct hands-on training on using data to improve student results.
- Ensure the validity, security, and proper processing of confidential data presented to staff in accordance with state and federal guidelines.
- Attend and, as appropriate, lead training sessions and site meetings related to assigned responsibilities.
- Perform other related duties as assigned by District Leadership.
OTHER FUNCTIONS
- Promote a positive image of the School District of Waupaca at all times.
- Maintain strict confidentiality regarding sensitive student, staff, and district records.
- Cross-train with other technology department positions as necessary to ensure operational continuity.
- Create a friendly, professional climate and develop positive working relationships with students, staff, parents, and visitors.

QUALIFICATIONS
- Education: Equivalent to a Bachelor’s degree in Information Technology, Data Analytics, Computer Science, Business Administration, or a related field.
- Experience: A minimum of 2 years of successful professional experience in data analysis, reporting, and validation is preferred.
- Special Requirements: Direct experience within a K-12 public education environment is highly preferred, featuring a working knowledge of Wisconsin database systems (WISEdata/WISEdash) and K-12 applications (Infinite Campus, ClassLink, and eduCLIMBER).
PHYSICAL DEMANDS
The physical requirements indicated below are examples of the physical aspects that this position classification must perform in carrying out essential job functions.
1. Persons performing service in this position classification will exert 10 to 20 pounds of force frequently to lift, carry, push, pull or otherwise move objects. This type of work involves sitting most of the time, but may involve walking or standing for brief periods.
2. Perceiving the nature of sound, near and far vision, depth perception, providing oral information, the manual dexterity to operate business-related equipment, and handling and working with various materials and objects are important aspects of this job.
3. The employee shall remain free of any alcohol or illegal substance in the workplace in compliance with Policy 3122.01/4122.01 throughout his/her employment in the District.

TERMS OF EMPLOYMENT & EVALUATION
- As set forth in the Contract.
- This salaried position is considered full-time.
- The yearly number of days worked in a school fiscal year shall normally be 260 days unless a reduced yearly work schedule is approved by the District Administrator. Vacations and holidays, as determined by the District Administrator, shall be considered in the total days worked.
- General working hours are Monday through Friday, 7:30 a.m. to 4:00 p.m.; however, this position requires this person to be available at other times during the day as well, such as early mornings during inclement weather.
- The Data Analyst will report directly to the Director of Teaching and Learning and work closely with the Director of Business Services and the Director of Student Services.
