Position Summary
The Service & Logistics Coordinator serves as the central point of communication between our customers, service technicians, vendors, and management. This position is responsible for coordinating service operations, purchasing parts and equipment, maintaining inventory, managing logistics, processing service billing, and ensuring excellent customer satisfaction. The ideal candidate thrives in a fast-paced environment, is highly organized, and enjoys solving problems while keeping multiple projects moving simultaneously.
Essential Responsibilities
Service Operations
- Coordinate daily service calls and installations with internal technicians and third-party service providers.
- Serve as the primary liaison between service technicians and company management.
- Monitor technician schedules and field activities throughout the day.
- Maintain and update the company service tracker to ensure all departments have real-time visibility into service activity.
- Follow up with customers after service appointments to confirm work was completed successfully and ensure customer satisfaction.
- Communicate proactively with customers regarding incomplete service calls, delays, and next steps.
Purchasing & Vendor Management
- Process purchase orders for all service-related materials, equipment, and parts.
- Research vendors and obtain the most cost-effective pricing while maintaining quality standards.
- Verify vendor invoices for pricing accuracy and proper billing.
Inventory & Asset Management
- Maintain inventory levels of service parts, equipment, and machines.
- Track company assets located at customer sites.
- Maintain customer equipment records, points of contact, and best practices documentation.
- Monitor inventory levels and assist with ordering replacement stock as needed.
Billing & Customer Orders
- Process customer orders accurately and efficiently.
- Create customer invoices for labor, service calls, replacement parts, and billable repairs.
- Review service work to determine when additional labor or parts should be billed beyond standard warranty or service agreements.
Shipping & Logistics
- Coordinate freight shipments and deliveries for customers.
- Perform cost analysis to determine the most economical shipping or delivery method.
- Process shipping paperwork and maintain shipping documentation.
- Update and submit the daily shipping manifest to management.
Fleet & Compliance
- Track preventative maintenance and service needs for company vehicles.
- Administer and maintain the company's OSHA Hazard Communication Program.
- Assist in maintaining compliance with company safety policies and procedures.
Qualifications
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- Previous experience in service coordination, operations, logistics, purchasing, inventory management, or office administration preferred.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Strong customer service and problem-solving abilities.
- Experience with Microsoft Office (Excel, Outlook, Word) and business management software.
- Ability to work independently while collaborating effectively with multiple departments.
- Detail-oriented with strong analytical and decision-making skills.
