Assistant Director of Catering Events
Position Summary
Boston Catering & Events is seeking an experienced, highly organized, and service-driven Assistant Director of Catering Events to support the planning, coordination, and execution of weddings, corporate events, galas, social gatherings, nonprofit functions, and large-scale catered events throughout New England.
This leadership position serves as a key operational partner to the Director of Events and General Manager, helping oversee event logistics, staffing, on site client communication, venue coordination, wedding execution, event signage, and day-of operations. The ideal candidate thrives in a fast-paced hospitality environment, demonstrates exceptional attention to detail, possesses excellent written communication and spelling skills, and leads by example while delivering outstanding guest experiences.
Key Responsibilities Wedding & Event Planning
- Assist with day of planning and executing weddings, corporate events, galas, social functions, and catered events ranging from 20 to 6,000+ guests.
- Review event orders, contracts, floor plans, timelines, and BEOs to ensure accuracy and completeness.
- Coordinate with sales, culinary, rental, transportation, and operations teams to ensure seamless event execution.
- Participate in weekly BEO meetings and follow up on operational action items.
- Support wedding couples and planners throughout the planning process, ensuring a smooth and enjoyable client experience.
Signage, Communication & Detail Management
- Create, proofread, and coordinate event signage including buffet labels, directional signage, welcome signs, seating charts, dietary signage, and event branding materials prior to event.
- Review all client-facing documents for proper spelling, grammar, formatting, and accuracy.
- Ensure event menus, labels, dietary notices, and printed materials are accurate and professionally presented.
- Maintain high standards of attention to detail across all event communications.
Client & Venue Relations
- Serve as a primary point of contact for clients, wedding couples, planners, venue partners, and vendors.
- Conduct venue walkthroughs and site inspections.
- Assist clients with timelines, floor plans, logistics, and event details.
- Maintain strong relationships with preferred venues and industry partners.
- Support venue partnership initiatives and preferred caterer relationships.
Staffing & Leadership
- Assist in recruiting, training, scheduling, and supervising event staff.
- Lead event captains, servers, bartenders, and support personnel during event execution.
- Ensure staff adhere to company service standards, appearance guidelines, and hospitality expectations.
- Support employee coaching, accountability, and professional development.
Event Operations
- Oversee event setup, service, weddings, receptions, and breakdown activities.
- Ensure rentals, décor, signage, equipment, and catering items arrive accurately and on time.
- Monitor event timelines and proactively resolve operational challenges.
- Ensure compliance with food safety, alcohol service, health, and workplace safety regulations.
- Serve as an on-site leader and problem solver during weddings and special events.
Administrative Responsibilities
- Assist with event scheduling, labor forecasting, and staffing plans.
- Maintain event documentation, timelines, and operational records.
- Support inventory management and equipment tracking.
- Prepare post-event evaluations and identify opportunities for operational improvement.
QualificationsRequired
- 3–5 years of catering, wedding, hospitality, hotel, venue, or event management experience.
- Strong knowledge of wedding planning and event execution.
- Excellent written communication, proofreading, spelling, and grammar skills.
- Exceptional organizational and multitasking abilities.
- Proven leadership experience managing event teams.
- Proficiency with Microsoft Office and event management software.
- Valid driver's license and reliable transportation.
- Ability to work evenings, weekends, and holidays.
Preferred
- Experience with Total Party Planner (TTP), Caterease, StaffMate, or similar event management systems.
- Wedding venue or catering company experience.
- ServSafe Food Manager Certification.
- TIPS or ServSafe Alcohol Certification.
Physical Requirements
- Ability to stand and walk for extended periods.
- Ability to lift and carry up to 50 pounds.
- Ability to work both indoors and outdoors in varying weather conditions.

Job Type: Part-time
Pay: $54,000.00 - $65,000.00 per year
Work Location: In person
