Operations & Administrative Coordinator

Pediatric Therapy of South Jersey
Galloway, NJ | Full-Time

Pediatric Therapy of South Jersey is seeking a highly organized, dependable, and motivated Operations & Administrative Coordinator to join our growing outpatient pediatric therapy clinic in Galloway, NJ.

We are not simply looking for someone to answer phones and schedule appointments—we're looking for someone who wants to become a key part of our leadership team by improving systems, supporting our staff, creating exceptional experiences for our families, and helping our clinic continue to grow.

This is much more than a traditional front desk position. We are looking for someone who thrives in a fast-paced environment, enjoys multitasking, takes initiative, and genuinely wants to help our clinic continue to grow.

The ideal candidate is someone who takes ownership of their work, enjoys solving problems, supports both our therapists and families, and is always looking for ways to improve systems and create an exceptional patient experience. As our clinic continues to expand, there is significant opportunity for professional growth into a leadership or office management role.

Responsibilities

Serve as the first point of contact for patients and families, providing exceptional customer service both in person and over the phone.
Schedule evaluations, therapy appointments, consultations, and manage daily clinic schedules.
Verify insurance benefits, obtain authorizations, and assist with insurance-related questions.
Maintain accurate patient records and documentation within our electronic medical record (EMR) system.
Collect payments and ensure all patient information is complete and accurate.
Coordinate communication between therapists, families, physicians, and referral sources.
Help ensure the clinic operates efficiently by anticipating needs and proactively solving problems.
Maintain organization of treatment schedules, office supplies, and daily clinic operations.
Support therapists with administrative tasks so they can focus on delivering exceptional patient care.
Assist with special projects, process improvements, and implementation of new systems as the clinic grows.
Contribute ideas that improve efficiency, organization, and the overall patient experience.

Qualifications

Required:

Previous administrative, medical office, scheduling, or customer service experience.
Excellent organizational and multitasking abilities.
Strong computer skills and ability to learn new software.
Professional verbal and written communication skills.
Ability to work independently while collaborating effectively with a team.

Preferred:

Experience in a pediatric therapy, medical, or healthcare setting.
Knowledge of insurance verification, authorizations, and EMR systems.
Experience with scheduling multiple providers.
Medical terminology.
