Full Job Description

Job Overview

We are seeking a dynamic and highly organized Personal & Professional Assistant to support Dr. Keila Nichols in managing a busy schedule, coordinating projects, and handling a wide range of administrative and personal responsibilities. This role offers an exciting opportunity to work closely with a high profile, natural health care group, providing essential support that enhances productivity and efficiency. The ideal candidate will be proactive, detail-oriented, and possess exceptional communication skills, ensuring seamless daily operations and effective collaboration across various functions. This paid position is perfect for someone eager to contribute to a growing professional environment while demonstrating outstanding organizational expertise and compassionate interpersonal relationships.

We are a chiropractic practice with 2 chiropractors and 1 homeopath. While a variety of patient types come through our clinic, you will be the main assistant to Dr. Keila Nichols, who treats mainly infants with cranial deformations, as a natural alternative to the cranial helmets/bands.

Duties:

You will be the personal assistant to Dr Nichols - scheduling and processing patients, educating new patient families, assisting with exams and reports. We have another wonderful assistant to the other doctor and the homeopath. Although you would be Dr. Keila Nichols' personal assistant, you will be cross trained to be part of the whole team dynamic. Other duties include assisting with classes and seminars, editing and organizing teaching material, stocking and filling orders for nutritional and homeopathic products. The environment is upbeat and loving. We generally have a variety of music playing - Christian, Country, Classical, Contemporary. We like to have fun - as long as the work gets done!

Skills required:

Excellent written and compassionate verbal communication skills coupled with professional phone etiquette
Detail-oriented with proofreading expertise for documents and correspondence.
Excellent with babies - must not be rattled by babies crying, pooping, throwing up, or overprotective parents. Must have a love and desire to comfort and calm babies and parents.
Organizational skills with the ability to prioritize tasks effectively when things get fast-paced.
Experience with Google Suite (Classroom, Meets, Docs) and Microsoft Suite (Word, Excel, PowerPoint), and video conferencing software such as Zoom or Teams..
Ability to handle confidential information discreetly while maintaining high standards of professionalism
Comfortable asking for payment and sorting out account discrepancies with grace and patience.
Team player in a fun, but fast paced, environment; always with a gentle spirit toward our patients and each other.
Available to work one evening a week during the 5-week Fall classes and the 9-week Spring classes.
An interest in natural healthcare alternatives.
