JOB SUMMARY

The CUSTOMER SERVICE GENERALIST provides professional and responsive support to customers, technicians, contractors, and internal team members by handling incoming calls, addressing customer inquiries, routing communications appropriately, and ensuring a high level of customer satisfaction through effective communication and problem resolution. This role collaborates closely with dispatchers, project managers, and operational teams to support daily workflow activities, including creating and managing work orders, dispatching service requests to contractors, assisting wit invoicing processes, and maintaining accurate documentation, while also developing a thorough understanding of Interactive Voice Response (IVR) instructions and operational procedures to support technicians and ensure proper work order management.

JOB DUTIES AND RESPONSIBILITIES:

1. CUSTOMER CONTACT AND CALL HANDLING: Serve as the main point of contact for customer service within the department by efficiently handling incoming calls and addressing callers’ needs; provide information and route inquiries to the appropriate parties as needed; ensure a high level of customer satisfaction on every interaction.

2. IVR AND WORK ORDER SUPPORT: Develop a thorough understanding of Interactive related questions; confirm proper IVR usage across work orders.

3. DISPATCH AND INVOICING COORDINATION: Collaborate with the dispatcher and project manager to support various tasks, including accepting and creating work orders and dispatching orders to contractors; assist with managing the invoicing process; learn the workflow of both dispatch and invoicing functions to contribute effectively when needed.

4. RECORDS AND DOCUMENTATION MANAGEMENT: Maintain accurate records related to work orders, customer interactions, and contractor or vendor communications; organize and update documentation using Microsoft Office (Word, Excel, Outlook); ensure information is complete, accurate, and readily accessible for technicians, dispatchers, and management.

5. SCHEDULING AND STAKEHOLDER COMMUNICATION: Coordinate schedules to support day-to-day operations; communicate proactively with contractors, vendors, customers, and internal stakeholders to relay updates and resolve routing issues; escalate more complex or unresolved matters to the appropriate team member.

6. PERFORMS OTHER ESSENTIAL DUTIES AS ASSIGNED.

EQUIPMENT OPERATED:
General office equipment (fax machine, copier, desk phone, scanner)

KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge of business ethics

Knowledge of best practices for workplace

Ability to learn new software quickly.

Ability to manage and sort reports.

Skilled in team collaboration and sharing pertinent information for efficient workflow.

Skilled in customer service and communication skills both internally and externall

Skilled in computer usage.

Skilled in inspecting documentation for completeness and accuracy.

Skilled in collaboration for effective teamwork and contribution to overall team success.

MINIMUM QUALIFICATIONS:
High School diploma or equivalent, PLUS
Minimum of two (2) years of administrative or office support in a fast-paced environment.

PREFERRED QUALIFICATIONS

Direct experience maintaining records, coordinating schedules, and communicating with contractors, vendors, customers, or internal stakeholders.

Construction or project coordination experience.

SPECIAL QUALIFICATIONS
Must pass a criminal background check

WORK CONDITIONS:
Works in a heated and cooled office environment
Prolonged periods of sitting at a desk and working on a computer
