Full Job Description

Job Summary
We are seeking a dynamic and detail-oriented Medical Coordinator to join our thriving Med Spa and Weight Loss clinic. This energetic role is essential in managing patient interactions, coordinating medical procedures, and supporting the administrative functions that keep our clinic running smoothly. The ideal candidate will possess a strong background in medical office management, excellent communication skills, and a passion for delivering exceptional patient service. Duties

Manage patient scheduling, appointment confirmations, and follow-up communications using EMR (Electronic Medical Record) systems such as Epic, Meditech, or Athenahealth to ensure seamless patient flow.
Verify insurance coverage, perform insurance eligibility checks, and handle insurance verifications for procedures related to weight loss treatments and med spa services.
Assist with intake procedures, including collecting patient information, updating medical histories, and ensuring accurate documentation review in compliance with HIPAA regulations.
Support clinical staff by reviewing care plans, coordinating treatment schedules, and maintaining detailed medical records using systems like eClinicalWorks or Dentrix.
Handle front desk responsibilities such as answering multi-line phone systems with professional phone etiquette, managing patient check-in/out processes, and maintaining a welcoming environment.
Perform medical billing tasks including CPT coding (Current Procedural Terminology), ICD-10/ICD-9 coding for diagnoses, and processing payments through Meditech or Eaglesoft platforms.
Maintain confidentiality of all health information in accordance with HIPAA standards while managing filing systems and electronic health records efficiently.
Provide exceptional customer service by addressing patient inquiries promptly, assisting with intake procedures, and supporting the overall patient experience.
Collaborate with clinical staff to ensure accurate documentation review, proper coding practices, and compliance with Medicare guidelines.
Utilize computer skills including Microsoft Office Suite for report generation, data entry, and administrative support tasks related to office management.

Experience

Prior experience working in a medical office setting, preferably within a Med Spa or weight loss clinic environment.
Strong familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or Eaglesoft is highly desirable.
Knowledge of medical coding including CPT codes and ICD-10/ICD-9 coding standards for accurate billing and documentation review.
Experience with insurance verification processes and Medicare guidelines to ensure proper reimbursement procedures.
Excellent communication skills in English; bilingual abilities are a plus to serve diverse patient populations effectively.
Demonstrated proficiency in medical administrative tasks such as appointment scheduling, filing, data entry (including 10-key typing), and handling multi-line phone systems.
Ability to maintain HIPAA compliance while managing sensitive health information with professionalism and discretion.

Pay: $17.00 - $22.00 per hour

3 Years previous experience in a medical office, medical spa, dental or chiropractic setting.
3 Years of clinical knowledge within a weight loss program, medical terminology and basic nutrition.
3 years experience and proficiency in EMR (Electronic Medical Records Systems). Microsoft Office, and Scheduling Systems.
3 years of Sales and Retention promoting service packages , handling retail product sales, and managing patient retention metrics
3 years experience of patient intake and liaison serving as the main point of contact, conducting initial consultations and explaining weight loss programs.
3 years experience of Operation Support managing front desk duties, scheduling appointments, performing insurance verification and maintaining patient records.
3 years experience managing HIPAA in a medical environment.
