Overview

Join our dynamic team as an Office Assistant professional, where your energy and organizational skills will keep our office running smoothly and efficiently. In this vital role, you will handle a variety of administrative and clerical tasks, support accounts payable processes, and ensure seamless communication across departments. Your proactive approach and attention to detail will contribute to a positive work environment and help maintain our commitment to excellence. This paid position offers an excellent opportunity to develop your office management skills while supporting our vibrant team.

Duties

Manage front desk responsibilities, greeting visitors and directing phone calls with professionalism and courtesy using multi-line phone systems and excellent phone etiquette
Handle incoming correspondence, emails, and inquiries, providing prompt customer service support and client communication
Perform data entry and bookkeeping tasks using QuickBooks and Microsoft Office applications to ensure accurate financial records and accounts payable processing as assigned by the owners and local accountant and Bookkeeper.
Process invoices, verify expenses, and coordinate payments while maintaining confidentiality of sensitive information
Organize files, maintain office supplies inventory, and support general office management duties to promote a well-organized workspace
Assist with calendar management, scheduling appointments, meetings, and personal assistant tasks as needed to optimize time management for staff
Support clerical functions including proofreading documents, filing, and maintaining organized records for easy retrieval

Qualifications

Proven office experience with strong computer literacy in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Prior bookkeeping or accounts payable experience using QuickBooks or similar accounting software
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Strong verbal and written communication skills; bilingual abilities are a plus for diverse client interactions
Demonstrated proficiency in data entry, proofreading, filing, and handling confidential information responsibly
Exceptional customer service skills with professional phone etiquette and client communication expertise
Personal assistant or office management experience is preferred but not required; a proactive attitude is essential for success
