Full Job Description

Job Summary:

We are seeking a professional, organized, dependable, and detail-oriented Office Assistant to provide administrative and day-to-day support in a busy professional environment.

The ideal candidate is someone who takes initiative, communicates well, is comfortable handling multiple priorities, and can work independently while maintaining a high level of professionalism and confidentiality.

Responsibilities:

Manage daily administrative and office tasks
Answer phones, respond to emails, and communicate professionally with clients and vendors
Schedule appointments, meetings, and other commitments
Maintain calendars, files, records, and office documents
Prepare correspondence, reports, spreadsheets, and other documents
Handle data entry and maintain accurate information
Coordinate office supplies, mail, deliveries, and general office needs
Assist with billing, invoices, receipts, and basic bookkeeping as needed
Make phone calls and follow up with clients, vendors, and service providers
Assist with special projects and other administrative duties
Help keep the office organized, efficient, and running smoothly

Qualifications:

Previous experience in an administrative, executive assistant, office manager, or professional office role preferred
Excellent written and verbal communication skills
Strong organizational and time-management skills
Proficient with Microsoft Office, Outlook, Word, and Excel
Professional phone and email etiquette
Strong attention to detail and accuracy
Ability to prioritize and multitask
Ability to maintain confidentiality
Dependable, punctual, and professional
Self-motivated with the ability to work independently
Positive attitude and willingness to take on a variety of responsibilities
