POSITION SUMMARY
· This is a clerical / administrative assistant position in which all work activities are completed under the direction of the Director of Planning and Zoning. This is an hourly position of skilled work in the operation of a telephone, personal computer and a variety of general office equipment. This employee will be responsible for answering all telephone calls, disseminating information and/or directing calls to appropriate Township personnel, and greeting and directing persons entering the building to the appropriate office. Employee in this position provides back up to the sewer billing clerk position. Employee is also responsible for the tax base computer and related entry and support functions.
· The clerk / receptionist is scheduled to work Monday through Friday 8:00 am until 4:30 pm. In addition, there is required attendance at all Township Planning Commission meetings.
PHYSICAL REQUIREMENTS
· While performing the duties of this job, the employee is frequently required to stand; walk; normal dexterity in fingers and hands and reach with hands and arms. The employee is occasionally required to sit; climb or balance, stoop, kneel, crouch, talk or hear and smell.
· The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
· The noise level in the work environment is usually quiet to moderate.
ESSENTIAL DUTIES AND RESPONSIBILITIES
· Answer phone and direct callers appropriately.
· Answer general public inquiries.
· Knows and can operate, in the absence of the sewer billing clerk, the sewer billing utility module.
· Receives remittances from sewer customers and is able to search utility billing system for data relative to the status of sewer accounts.
· Maintains the tax base computer and related entries. Furnishes breakdown of tax collector's report, relative to light fund remittance, to Finance Director in an expeditious manner.
· Type, take dictation and transcribe, copy and mail correspondence.
· Issue building, zoning, sewer, highway occupancy, sign, mechanical amusement device, demolition, and transient merchant permits.
· Order supplies and maintain supply closet.
· Prepare Planning Commission, Zoning Hearing Board and Appeals Board meeting packets for distribution.
· Sort and distribute mail daily.
· Send and track invoices.
· Maintain department files.
· Track maintenance of mail machine and copiers, including updating postage when needed.
· Maintain cash drawer.
· Distribution of recycling bins.
· Proofread documents as requested.
· Maintains contract number list.
· Cover lunch break for sewer billing clerk.
· Maintain equipment inventory.
· Update website as required.
· Provide updates for ordinance codification.
· Performs all tasks as required by the Board of Supervisors and/or the Township Manager.

· Must be a resident of Blair County within one year of employment.
Experience and Training
· High school diploma or equivalent.
· Minimum 5 years of clerical experience.
TOOLS AND EQUIPMENT
· Personal computer, including word processing, spreadsheet, and database software; adding machine; telephone; copier, mail machine, fax machine and other office equipment.
LICENSE REQUIREMENTS
· Valid Pennsylvania driver’s license.
