Description of Duties: (This position is located in Fort Valley, GA)

Objectives of this Role:

The Front Desk Coordinator serves as the first point of contact for patients, families, and visitors, providing a welcoming, professional, and compassionate environment. This role supports clinic operations by managing scheduling, patient registration, communication, and administrative tasks while maintaining confidentiality and compliance with HIPAA standards.

Key Responsibilities:

Patient Interaction & Customer Service: Greet patients and visitors in a friendly, respectful, and professional manner. Check patients in and out for appointments. Verify patient demographics, insurance, and contact information. Respond to phone calls, emails, and inquiries promptly and courteously. Manage high-volume call traffic and triage calls appropriately.

Scheduling & Coordination: Schedule, reschedule, and confirm appointments in the electronic health record (EHR) system. Coordinate provider schedules and maintain accurate calendars. Send appointment reminders and follow up on missed appointments (no-shows).

Administrative Duties: Maintain accurate patient records and documentation. Collect co-pays, balances, and process payments as needed. Scan, upload, and file documents in the EHR system. Assist with intake paperwork and onboarding of new patients. Maintain front desk organization and supplies.

Compliance & Confidentiality: Ensure all patient information is handled in accordance with HIPAA and privacy regulations. Follow clinic policies regarding patient confidentiality and data security. Maintain professional boundaries in a behavioral health setting.

Support Clinical Team: Communicate effectively with clinicians and administrative staff. Relay messages, urgent concerns, or scheduling conflicts to providers. Assist with basic coordination of care as directed.

Qualifications: High school diploma/GED and ability to perform basic office functions and computer related duties.

Preferred Qualifications:

1-2 years of front desk, medical office or customer service experience preferred
Strong verbal and written communication skills
Basic computer proficiency with Microsoft Office, EHR systems
Ability to multitask in a fast-paced environment
Professional demeanor and strong interpersonal skills
Experience in a behavioral health, mental health or medical setting
Familiarity with insurance verification and billing processes
Knowledge of HIPAA and healthcare privacy practices
Experience managing cash sheets and taking payments
