Full Job Description

Overview

We are seeking a detail-oriented and highly organized Payroll Specialist to manage and oversee payroll functions within our organization. The ideal candidate will have a strong background in payroll processing, accounting, and HR systems, with the ability to ensure compliance with employment and labor laws. This role involves handling sensitive information with confidentiality and accuracy, supporting payroll systems, and collaborating across departments to facilitate efficient payroll operations. Proficiency in various payroll software and accounting tools is essential for success in this position.

Responsibilities

Process payroll accurately and timely using systems such as ADP, Paychex, Thomson Reuters Payroll or other supported payroll platforms.
Maintain and update employee records within payroll systems, ensuring data integrity and confidentiality.
Reconcile payroll accounts, including general ledger entries and tax liabilities.
Ensure compliance with federal, state, and local employment & labor laws related to payroll processing and tax law.
Prepare and review journal entries related to payroll transactions; perform account reconciliation tasks regularly.
Manage benefits administration related to payroll deductions and contributions.
Handle tax filings, payroll tax deposits, and reporting requirements accurately.
Assist with audits related to payroll and financial reporting; provide documentation as needed.
Collaborate with Human Resources to ensure proper classification of employees and compliance with labor law regulations.
Utilize spreadsheets and financial software for data analysis, reporting, and record keeping.

Experience

Proven experience working with payroll systems such as Thomson Reuters ACS, Workday, ADP, Paychex, Kronos, Ceridian, or UltiPro is highly preferred.
Strong background in corporate accounting or finance with expertise in general ledger reconciliation, journal entries, debits & credits, double entry bookkeeping, and technical accounting practices.
Knowledge of employment & labor law as well as payroll tax regulations is required to ensure compliance.
Experience handling confidential information with discretion is critical.
Proficiency in spreadsheets (Excel), accounting software (QuickBooks or similar), and financial analysis tools is necessary.
Ability to perform data entry accurately using 10 key typing skills; experience with account reconciliation is a plus.
Prior experience in benefits administration, non-profit accounting (if applicable), accounts payable/receivable management is advantageous.
